Job description
The Academic Placement Coordinator works as a member of the Records and Registration team to advance and support the work placement requirements of students. Responsibilities include, but are not limited to, manage student submissions of required documentation, disseminating, and collecting documentation as needed, and communicating with students regarding their work placement as needed.
The Academic Placement Coordinator works closely with the Records and Registration team, academic program leads, and the International Student Office. This position will work with program leads to evaluate work placement requests for all students.
ESSENTIAL RESPONSIBILITIES (Duties may vary and other duties may be assigned.)
1. Develops and maintains detailed knowledge of the university's academic policies, curriculum, and general university requirements, and works closely with the registrar, program leads, faculty, and other staff members of Records and Registration and Harrisburg University.
2. Working closely with program leads, evaluates all submissions of work placement requests and their alignment with the student’s academic program.
3. Manages the submission of work placement documentation and provide regular reports to the Registrar, International Student Office, and program leads.
4. Communicates with students regarding work placement requirements and documentation for work placement approval as needed.
5. Maintains records of work placement documents, job descriptions, and the academic program goals of each of the programs.
6. Manages and maintains records regarding executive format weekend attendance.
7. Evaluates requests for an academic extension of program.
8. Creates and maintains the standard operating procedures for processes and database updating.
9. Other duties as assigned.
REQUIRED SKILLS/ABILITIES
1. General understanding of federal, state, and local regulations as they apply to student records (i.e., FERPA, HIPAA, PDE, etc.) as well as best practices related to academic policies and procedures
2. Strong work ethic and high level of energy, flexibility, initiative and creativity
3. Organizational, analytical, and critical thinking skills and the ability to manage multiple projects concurrently with frequent interruptions
4. Excellent interpersonal and communication skills and demonstrated ability to develop effective working relationships within a fast-paced, multicultural environment
5. Proficiency in Windows and Microsoft Office computer systems, knowledge of computer databases and receptive to the use of new technology; knowledge of the Jenzabar EX student information system is a plus
EDUCATION AND/OR EXPERIENCE
1. Bachelor's degree or equivalent work experience (Master's degree preferred)
2. A minimum of one year of higher education experience.
