The primary function of this Administrative/Coordinator role is to provide a wide variety of direct support to the facilities department leadership. This position involves office and project management while working closely with the Business Ops Controller, VP of Facility Operations and key personnel at various campuses.

Duties & Responsibilities

  • Knowledge of work orders and ticket system for each location
  • Maintain running list of ongoing projects & purchase requests / approvals
  • Monitor and maintain service agreement renewals
  • Monitor and maintain deadlines for compliance matters, site visits by agencies
  • Monitor and maintain fleet registration and renewals, and schedule preventative and immediate maintenance on fleet vehicles as required
  • Vendor relations, vendor sourcing, collecting bids
  • Coordinate / disseminate crew schedules
  • Schedule, coordinate and attend calls, meetings, walkthroughs
  • Keep up to date records and schedules for all building inspections (Fire, DOH etc)
  • Keep department financials up to date in collaboration with VP of facilities, Director of facilities & accounting department
  • Manage rental property agreements and needed work with the VP of Facility Operations
  • Manage department calendar
  • Manage staff travel and lodging within facilities
  • Prepare facilities documents such as SOP’s, SOW’s & violations
  • 25% Travel required to school locations (more may be needed on an exception basis)

Requirements

  • Strong computer skills
  • Knowledge of Microsoft office and outlook
  • Proficient in Excel
  • Excellent customer service
  • Excellent communication skills
  • Excellent organizational skills
  • Ability to travel to different locations if needed
  • Employee will primarily work remote but will need to travel 1 week out of each quarter and will need to work with employees in both PST and EST time zones
  • Ideally, this person would reside in the Eastern portion of the US, but we will consider Central and West Coast candidates based on skillset and experience level

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
