Job description
Essential Duties and Responsibilities
- Provides administrative support to ensure efficient operation of office.
- Answers incoming phone calls and ensures proper voicemail message is activated
- Answers and screens Manager's telephone calls and arranges conference calls.
- Greets scheduled visitors and directs to appropriate area or person.
- Reads and routes incoming mail
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Carries out administrative duties such as filing, typing, copying, and scanning.
- Composes and types routine correspondence.
- Creates/edits documents in Microsoft Office, Excel, PowerPoint and other programs as needed.
- Prepares and submits expense reports for Directors.
- Organizes and maintains file system and files correspondence and other records.
- Coordinates Manager's schedule and makes appointments.
- Schedules appointments and maintains calendar for Conference and Meeting rooms.
- Conducts research, and compiles and types statistical reports. Completes monthly facility reports
- Makes copies of correspondence or other printed materials.
- Conducts inventory of office supplies, places supply orders
- Maintains print media book with articles that highlight the facility from local publications
- Arranges for equipment maintenance.

Education and/or Experience
- High School diploma or G.E.D.
- Two years related secretarial experience
Skills and Abilities
- Ability to type at least 55 wpm.
- Proficient in Microsoft Office.
- Knowledge of office Management systems and procedures.
- Ability to use all office equipment, computer, calculator, fax machines, copy machines
- Excellent time management skills and ability to prioritize tasks and to handle multiple tasks at a time
- Excellent written and verbal communication skills, problem solving and organizational skills
- Excellent customer service and public relations skills
