PACIFIC Engineering Technologies, Inc. is a structural engineering and architectural design firm located in the Northgate area. We are seeking a part-time administrative assistant with a minimum of three years experience to be a member of our team. The schedule is flexible, with approximately 15 to 20 hours expected per week over 3 to 4 days. This position is a long-term career opportunity for the right individual.

Our primary areas of business include: investigation of damaged buildings, evaluation of defective construction, and design of repairs to damaged buildings using steel, concrete, wood, and masonry. The firm was established in 1960 and we have been providing structural engineering and architectural design services to clients of commercial, residential, industrial, institutional, and historic projects for over 60 years.

Qualifications:

  • Two-year degree or equivalent strongly preferred, four-year degree a plus
  • Proficient with Microsoft Office 360 applications (Outlook, Word, Excel, Teams, Access, and PowerPoint)
  • Excellent communication and organization skills
  • Detail oriented
  • Good record keeper
  • Willingness to learn

Primary Job Responsibilities:

1. Perform administrative assistant duties for President and Principals of the company (in-office)

2. Schedule and coordinate calendar of monthly and annual to-do items

3. Receive and track company contracts

4. Assist with review of company documents (contracts, invoices, etc.) for spelling, grammar, etc.

5. Coordinate and document training for employees (site safety, hazardous materials, diversity, equipment use)

6. Research and schedule continued education seminars/webinars for professionals

7. Create, maintain, and update client and professional databases

8. Create, maintain, and edit Word and Excel templates (reports, contracts, etc.)

9. Provide support for front desk tasks (word processing, contract review, etc.)

10. Coordinate year-end party and social events

11. Perform or coordinate website maintenance and improvements (non-technical only)

12. Prepare and distribute company correspondence through emails and memorandums

13. Provide general support with other in-house tasks when others are out of office

14. Other duties as they develop or as required
