Administrative Assistant
Job description
Milwaukie/Clackamas CPA firm seeks a detail-focused and team-oriented Administrative Assistant in fulfilling the Firm’s daily administrative operations. This position is full time, M-F, 8am-5pm.
A sample of general duties:
- Process and file client tax returns, financial statements, and other client communications and deliverables as needed
- Enter client projects
- Process credit card payments, deposit checks
- Answer phones, route calls, manage voicemail and holiday greetings
- Assist in onboarding/disengaging clients where needed
- Retrieve newspapers and water plants
- Scan/download documents received from clients and file appropriately
- Retrieve the mail/packages and distribute to employees, coordinate courier services
- Ensure a clean office environment with light cleaning when necessary
- Maintain awareness of calendars and meetings to greet clients
- Process and post internal and external newsletters and communications
- Maintain office/break room supply inventory through replenishment orders
- Manage records, scheduling, and setup of continuing education (CPE) and CPA licensure for the firm
- Write/transcribe letters to clients, vendors, and referrals
- Provide assistance to our management team as needed
- Recommend process improvements for all tasks firm-wide
- Other duties as assigned
Qualifications:
- Excellent verbal and written communication skills
- Self-starter
- Able to work in an environment with many interruptions and multitask with composure
- Ability to maintain a high level of confidentiality
- Dependable for punctuality and follow-through
- Ability to juggle multiple deadlines
- Ability to troubleshoot new problems and provide assistance to our clients and team members.
- Willingness to take on additional tasks and projects
- Higher-level experience with the Microsoft Office suite, specifically Word, Excel, and Outlook desired
- Working knowledge of Adobe Acrobat (PDF), Microsoft Windows, and Microsoft Outlook
- Ability to take direction, learn quickly and work independently/as a team
Education/Experience:
- Client/Customer Relationship experience required
- 3 years of experience in an office setting required
