Job description
Support Operations Management by assisting with coordinating and running regularly scheduled meetings, collecting data and preparing reports, managing front desk operations and assisting with customer visits as necessary.
RESPONSIBILITIES AND DUTIES:
  • Adhere to all safety rules and regulations and support management in the enforcement of same.
  • Assist manufacturing and quality on shop floor data collection and record keeping.
  • Assist Facilities in the preparation and distribution of notices and signs as required
  • Participate in the site Safety Committee and maintain meeting minutes
  • Prepare and maintain reports such as Instantis Project review and Excess/Obsolete and run bi-weekly meetings
  • Maintain the Excess and Obsolete Inventory report and run bi-weekly meeting
  • Manage front desk operations, customer phone calls and inquiries
  • Manage ID card preparation and distribution
  • Receive and greet visitors, connect visitors with host following all visitor safety protocols
  • Maintain PPE availability for staff and visitors
  • Monitor surveillance cameras and report suspicious activities
  • Manage training room and front lobby conference room calendar and assist with room set-up and break down when necessary
  • Assist Accounting with electronic file maintenance
  • Assist Sales/Marketing with customer visit/fl-buy planning
  • Control the flow of legal documents when served
EDUCATION:
Minimum 2-year Associates degree or equivalent experience. Four-year college degree preferred
QUALIFICATIONS:
  • Prior experience as an Administrative Assistant
  • Working knowledge of Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to walk, talk, and/or hear. The employee is occasionally required to stand, sit, and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include: close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
WORK ENVIRONMENT:
  • Work in both office and manufacturing environment
  • May occasionally be required to perform job duties outside the typical office setting
