General Description
Provides complex administrative support for the Director of the Compensation and Benefits Department. Work is performed under general supervision without specific instruction. Specialized knowledge of the department's functions is required. Contacts are made at all organizational levels within and outside the department and division, requiring the handling of sensitive or controversial information and/or dealing tactfully with the public. Requires independent planning and coordination with others; considerable judgment is required.
Essential Job Functions
- Performs a variety of administrative assignments to relieve the Director of routine matters and ensure the efficient operation of the office.
- Assists the Administrators as needed.
- Schedules appointments, meetings, appeal hearings and interviews for the Director.
- Attends all appeal hearings handled by the Director and records minutes.
- Responds orally and in writing to inquiries from within and outside the school system; establishes and maintains working relationships with other offices, schools, governing agencies, media and vendors; coordinates with other departments and processes work requests needed by staff.
- Responsible for entering and maintaining time and attendance for the Department.
- Maintains department budget and processes bills for payment (Benefits and Wellness).
- Responsible for membership dues, subscription renewals or new orders for the Department.
- Processes resignations, terminations and COBRA notices.
- Assists with FMLA, SLB, STD and ESL when needed. Services a backup when needed.
- Maintains and distributes updated federal compliance posters for school division.
- Updates and maintains CNET and distributes updated Benefits information to Communications and Community Outreach Department for posting on CCPS Website.
- Responsible for stocking, maintaining and ordering department office supplies and equipment.
- Assists with benefits calls and walk-in as needed.
- Serves as a resource to others; assists with general clerical work, reception duty, data entry and records management.
- Performs other duties as required.
Qualifications
Considerable knowledge of office procedures and policies. Working knowledge of Benefits, Retirement and Compensation information. Working skill in the use of a personal computer, utilizing word processing, spreadsheet and presentation software. Demonstrated ability to edit work for proper grammar, spelling and punctuation; to manage office activities and administrative work; to communicate effectively orally and in writing and work effectively with all levels of personnel and the public. Education, training or experience sufficient to perform position duties.
