Job Overview
As an Administrative assistant to multiple senior leaders within CareAllies, he/she will provide administrative support with the majority of duties being high-level administrative tasks. In this role, he/she will perform scheduling, planning/coordination of events, meetings or conferences. In this role, the work requires initiative and judgment in making decisions and knowledge of department and company policies and procedures.
Responsibilities:
Provide executive level support to multiple CareAllies senior leaders to enhance the productivity and effectiveness of the department
Coordinates and manages multiple calendars (accepting, declining, and scheduling meetings)
Handles travel arrangements
Expense report completion
Meeting preparations (venue, food, equipment, etc.)
May produce reports, presentations and briefs
Works with matrix partners for appropriate review/approvals of external-facing materials
Acts as the point of contact between the leaders and internal/external clients, managing phone calls from clients and Health Care Professionals
Participates in other duties and special projects as assigned
Qualifications:
10+ years of administrative assistant to experience to senior, executive level required
Experience with medical/clinical leaders, teams preferred
Proficiency level with Microsoft applications that include but are not limited to Word, Excel, PowerPoint, and OneNote
Knowledge of Concur (process expenses and track mileage) software preferred
Ability to handle a high volume of travel arrangements in multiple time zones required
Multi-tasker, detail-oriented, problem solver, and ability to prioritize is required
If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.
For this position, we anticipate offering an hourly rate of 24 - 36 USD / hourly, depending on relevant factors, including experience and geographic location.
This role is also anticipated to be eligible to participate in an annual bonus plan.
