The City of Norfolk Department of Budget & Strategic planning is seeking an Administrative Assistant I to perform clerical, administrative, and financial support duties and provides records support. The incumbent will supervise personnel and coordinates training for support staff. The Administrative Assistant I assists with information requests, manages planning, and reporting processes.

Departmental Hiring Salary Range: $38,440 to $48,00, based on experience.

Essential Functions

Essential functions include but are not limited to:

  • Provides administrative support for the Director of Budget and Strategic Planning including calendar management, file and document organization, shredding documents, arranging and organizing meetings, travel arrangements, and email oversight.
  • Performs administrative duties such as answering and directing telephone inquiries, typing, compiling data for reports, processing reports and makes travel arrangements.
  • Maintains logs of incoming and outgoing mail, databases and filing systems for the office.
  • Responsible for liaising with the Departments of Human Resources, Finance, Information Technology, Emergency Preparedness and Response and other departments as required.
  • Orders office supplies and maintaining office equipment, creates requisitions, purchase orders, contracts, and pays invoices for office purchases and bills, and office payroll responsibilities.
  • Assists with information requests from office staff and other city departments. Responds to questions and provides instructions on proper procedures and policies as appropriate.
  • Organizes the Budget Preparation calendar and the preparation of Budget and Policy documents, assists analysts with data collection and validation, and proof-reading documents.
  • Oversees budget document formatting as needed.
  • Performs other duties and special projects as assigned.

Education/Experience

Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school or equivalency.
One year of general office work experience. A bachelor's degree or above may substitute work experience (as approved by the department).

Additional Information & Requirements

Work Hours: Monday - Friday, 8:00am -5:00pm

Signing Bonus: This position is eligible for a one-time $5,000 signing bonus.

The signing bonus will be paid in two (2) increments: $2,500 upon completion of 60 days of employment, and $2,500 upon completion of your probationary period. To receive the signing bonus, you must be an active employee in good standing.
