Administrative Assistant/Senior Specialist - Pupil Services
Job description
Administrative Assistant II located in the Pupil Services Department at Central Office. Assists the Directors in carrying out districtwide responsibilities and in creating and maintaining an efficient operation. Union position.
Essential Functions:
- Maintain department budgets (local and grants). Generate cost analysis and projections using Excel. Create purchase orders, receive and process invoices using MUNIS or similar financial program.
- Responsible for Federal and State Grant data collection and submission, Financial input, and Narrative Writing utilizing the grant management systems.
- Verify timesheets through KRONOS or similar program for accuracy.
- Create worksheets and contracts for out-of-district tuition. Maintain spreadsheets for accurate reporting to the State Dept. of Ed.
- Coordinate homebound tutors for the district.
- Update eSchool or similar student data program for out-of-district students.
- Manage district-wide assistive technology, equipment, testing material for the department.
- Act as district support for the department regarding policy, procedures, and processes.
- Work with multiple agencies as well as other districts to gather information on student matters.
- Answer telephones, record messages and greet visitors
- Handle routine correspondence independently
- Type letters, reports, memos, requisitions, etc. as required
- Maintain appointment calendar and travel schedule for Director of Pupil Personnel
- Maintain respect at all times for confidential information
- Attends meetings and in-services as required
- Assist with recordkeeping of 504 plans and IEPs
- Assist with special education testing
- Respond to routine questions and requests in an appropriate manner
- Is familiar with negotiated contract language of bargaining units
- Other duties as assigned by Administrator.

- Make contact with the public with tact and diplomacy
- Promote good public relations by personal appearance, attitude and conversation
- Respond to routine questions and requests in an appropriate manner
- Maintain a level of approachability by administration and staff
- Perform other duties as assigned by Pupil Personnel Supervisor
Qualifications/Certificates:
- High School Diploma
- 5 years secretarial experience
- 1 year related experience preferred
- Bilingual in Spanish preferred
- Alternative to the above qualifications as the HR Director or Windham Public School deems appropriate

- Repetitive hand motion, e.g., computer keyboard, typing, calculator, writing
- Regular requirement to sit, stand, walk, read, hear, see, speak, reach, stretch with hand and arms, crouch, kneel, climb and stoop
- Frequent interruption of duties by staff, students, visitors and/or telephone
- Occasional need to work overtime, evenings and/or weekends
- Occasional requirement to lift, carry, push and/or pulling various supplies and/or equipment up to a maximum of 10 pounds
