The Administrative Coordinator’s primary contribution is to administratively support the CEO, Administrator, Supervisor of Direct Care and Human Resource Director, with a heavy focus on creating meaningful and powerful relationships within our office and community. The Administrative Coordinator is responsible for promoting, honoring, and embracing the culture within our communities and to achieve excellence through coordination of distinctive client experience and services.

Quality Assurance:

Using the designated Quality Assurance tracking tools, logs details of specific client change of condition events, client incidents, and client concerns. Identifies trends in a written report to the Administrator including recommendations for action. Recommendations may include revisions to care plan, home safety evaluations, care partner involvement, or staff training. Report is presented to Administrator and SDC during Client Care bi-weekly meeting.

Performs Quality Assurance audits on HR files and client charts to ensure completeness, and compliance to regulations and company policy.

Staff Support:

The Administrative Coordinator is responsible for recruiting and participates in the employment pre-screening process caregiver and works with SDC and HR Manager to evaluate caregiver competency. Conducts and scores demonstrated competencies and identifies any skill deficiencies that may warrant a need for additional training prior to placement in the field or an applicant that would not be selected to move forward with onboarding. Participates in new hire orientation to client services policies and procedures.

Client Records:

Manages client services records and assures compliance with all regulations and company procedure pertaining to the management and maintenance of client records. Prepares Client Service Records, Medication List, Household tasks, Communication Logs, Family Tracking Documents, Life Enrichment Calendar, and needed documents for sending to homes monthly.

Assures the client service records (CSR’s) and all materials due from the client home, i.e. communication logs, mileage logs, etc., are collected and in the office by Tuesday of every week. Reviews all documents for completeness, accuracy, and compliance to process. Reviews CSR’s for Quality Assurance process and to ensure that services performed by caregivers are in accordance with the care plan. Reports Administrator and SDC every Tuesday regarding client service record non-compliance

Provides reports, as requested, that evaluate our performance as a company and identify areas that need improvement through the company’s Quality Assurance Program.

Qualifications:

· Current nursing assistant certification in the State of Washington, in good standing

· One year, preferably, of experience working in the Health Care Industry as a Certified Nursing Assistant

· Experience in a customer service position

· Experience training or teaching others

· Inquisitive traits and able to gather factual information, problem-solving experience

· Strong computer skills - Microsoft office (word, excel, outlook) and internet research

· Good organizer and effective manager of daily responsibilities

· Team player, Excellent communication skills: written and oral

· Must have extreme flexibility with availability. Duties include conducting orientations on weekends, evenings, and early mornings. Will be filling client shifts in an emergent situation or as needed and rotates into the Administrative On-Call schedule.
