About the Position

Performs a wide range of complex and confidential administrative and clerical support duties. This position supports the General Manager and the Director of Membership. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of the club and department policies and procedures. This position reports to the General Manager.

About You

You are an experienced administrative professional with an interest in the hospitality industry. You understand and live by the concept of being a “team player”, making sure that collaboration is essential to your success, as well as the success of those you work with. At the same time, you have enough experience and strength to ensure the right thing is being done. You are able to work collaboratively or independently with equal effectiveness. Multi-tasking is a concept that you embrace.

Job Responsibilities:

· Strong written and verbal skills to communicate effectively with management, employees and members.

· Excellent interpersonal skills including active listening, clarification, and de-escalation as appropriate.

· Extensive experience and high degree of proficiency in standard business applications, such as Microsoft Office Suite, online conferencing tools; mastery of standard business tools including spreadsheets, databases, calendars, and email.

· Ability to multi-task with demanding timeframes. Ability to adapt to constantly shifting priorities, while managing strict and sometimes competing deadlines and unexpected urgent situations is necessary in a calm positive manner.

· Ability to use high-level discretion and maintain a high level of confidentiality.

· Support the General Manager & Director of Membership with administrative duties and/or tasks as needed, while interacting with every department throughout the facility.

· Purchases and maintains inventory of office supplies for the club.

· Produce check requests, track expense receipts and reconcile monthly credit card statements from General Manager and Director of Membership.

· Assist Club staff in basic IT problem solving.

· Assist Marketing in editing monthly bulletin and newsletters

· All other duties as assigned by the General Manager.

Qualification Standards

Specific Job Knowledge, Skills and Abilities:

· Ability to exude helpful and pleasant attitude with all stakeholders; people-person skills a must.

· This position requires constant follow-up on pending tasks; must multi-task and maintain strong organizational skills.

· Strong command of the English language, both verbal and written is required.

· Bilingual English/Spanish is desirable

· Ability to work across teams in a seamless and compatible manner

Education

· College degree, or equivalent of experience preferred

Experience

· Minimum of 3 years of C-level support in high-end services environment

Grooming

All employees must maintain a neat, clean and well-groomed appearance per club standards. Professional business attire required.

Other

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the club. In addition, attendance at all scheduled training sessions and meetings is required.

Job Type: Full-time

Pay: $26.44 - $28.85 per hour
