Position Summary

Reporting to the Director of Alumni Engagement and Programs, the Assistant Director is responsible for working with the Alumni and Corporate Relations team on events and programming. The position requires cross-training to support the functions and budgets of the Alumni Relations, and Corporate Relations team as needed. This individual will meet core and partnership values of teamwork, integrity, accountability, and respect.

Responsibilities

Work with the Senior Executive Director of Alumni and Corporate Relations and the Director of Alumni Engagement and Programs for the delivery of alumni and corporate relations events and programs, including but not limited to: Alumni Reunion, Dean’s Signature regional events, occasional support of Centers and Programs events; Women’s Circle events and the registration aspects of all associated events.

Work with the Executive Director of Alumni and Corporate Relations and the Director of Alumni Engagement in the form of prospect identification and prospect research, including preparation of individual and industry research reports, event briefings, online research, and maintenance of such database reports; works with research on briefings for certain prospects.

Work with the Director of Alumni Engagement with all planning aspects of Reunion, Women’s Business Leaders in Tech, and regional programming.

Works with the Director to plan event logistics for new and ongoing Manhattanville programming. This may include serving on planning committees, and establishing new relationships with local vendors. Works with the Senior Executive Director of Alumni and Corporate Relations on alumni engagement events.

Provides prospect management assistance to the alumni relations teams in daily operations, proactively follows up on correspondence, prepares prospect management reports, and other meeting documents.

Works with the Alumni and Corporate Relations team on task including, but not limited to, drafting acknowledgements, centers and programs list uploads, and mailings. Additionally, responsible for Athena maintenance in regard to event-based data.

Collaborates with the appropriate Alumni Relations and Corporate Relations teams to balance and reconcile monthly Alumni Relations, Corporate Relations, and Annual Dinner budgets; reconciles monthly expense reports for each budget area, working closely with the Financial Planning Office.

Reconciles expense reports, invoices, and payments; prepares quarterly update reports for the dean’s office; manage annual team strategies and goals. Works with Financial Planning office and vendors to ensure payment and contracting is completed.

Provides general project support for Dean’s signature travel with Development & Alumni Relations, both domestically and internationally. Provides logistical support to the Senior Executive Director of Alumni and Corporate Relations on tour-related travel and alumni engagement events.

Performs other related tasks as assigned.

Minimum Qualifications

Bachelor’s degree and/or its equivalent required. Minimum 2-4 years related experience required.

The successful candidate must demonstrate excellent organizational, written, editorial, and oral communication skills and an ability to do detailed work in a fast-paced team environment. Must be detail oriented, self-motivated, and able to manage multiple responsibilities simultaneously with short deadlines in a high volume environment. Must be able to work well independently as well in a team environment. Proven intermediate/advanced Microsoft Office skills, and experience in database management preferred. Availability to work nights and weekend hours are required. S/he will meet core and partnership values of teamwork, integrity, accountability, and respect.
