Position Summary
Reporting to the Senior Associate Director of Operations and Student Services for the Executive MBA Programs, the Assistant Director provides support to all phases of the development and management of the executive degree programs, with special emphasis on operations and faculty support.
Responsibilities
Ensures a seamless teaching experience for all EMBA Faculty by serving as the main point of contact on class days, coordinating operational and media requests, managing all course material collection, purchasing and reproduction, and responding to ad hoc faculty requests and needs.
Creates on-campus course schedules (dailies) and corresponding operations setup for all class days.
Independently and actively manages the inventory and the distribution of these course materials (textbooks, casebooks and software) for all EMBA programs, serving an international student population of 450-600 students per term, three times annually. This task includes the timely and correct shipment of course materials worldwide, researching, sourcing, and working with vendors for academic publications to secure copyright and distribution channels and maintaining a budget of approximately 1.3 million dollars annually.
Works closely with the operations team with assigning rooms for weekend events and review session requests, including updating individual reservations in the event management system, updating Coursedog with session dates and room assignments, updating staff and faculty, and updating room assignments on the course webpages and making room changes as needed.
Manages and confirms Echo 360 (or other media requests) for faculty and students.
Manages the student locker lottery process every term. Ensures the timely outreach to students and manages request each semester to determine student eligibility. Works in collaboration with the Senior Associate Director to recommend process improvements as needed.
Staffs and assists Executive MBA events as needed, including Orientations, Residence Weeks and/or Weekends and Graduations.
Supports EMBA Operations by managing and/or contributing to the following processes or events: general inbox responses, review session scheduling, program calendaring, admitted student website updates, and classroom reservations.
Communicates with and cultivates strong working relationships with the Business School Multi-Media Department, ITG, Office of Operations, the MBA Office of Student Affairs and other departments as necessary in relation to all logistics of operating EMBA programs on campus, including multimedia requests, new student orientations, and facilities and building operations as it pertains to EMBA programs.
Performs special projects as needed.
Minimum Qualifications
Bachelor’s degree required and/or its equivalent required. 2-3 years related experience required, preferably in office and systems management.
Excellent oral and written communication skills necessary with an acute attention to detail. An ability to work independently with changing priorities and multiple responsibilities a must. Ability to work as part of team necessary. Must have excellent interpersonal skills. A high level of customer service is required. Strong computer proficiency with Windows, MS Word, Excel, PowerPoint. This position will include regular evening and weekend work requirements.
