POSITION TITLE: Assistant Property Manager
REPORTS TO: Property Manager
SUPERVISES: Building Engineers
Building Office Clerical Staff
Perspective
The Assistant Property Manager is to assume full responsibility for activities in the project in the absence of the Property Manager. He/she should be totally knowledgeable of all day-to-day activities to assure the successful operations of the building. The Assistant Property Manager is charged with the day-so-day implementation of those policies, procedures and programs that will assure a well-managed, well-maintained building, placing maximum emphasis on positive response to the concerns and needs of the tenants and on increasing the value of the property being managed.
Scope of Responsibility and Authority
A. Primarily responsible for coordinating with the Manager all reporting, budgeting, cost control, past due receivable, occupancy and vacancy reports, quarterly activity reports, etc.
B. Act independently but second in support of the Property Manager in providing timely positive responses to tenant requests.
C. Instruct and communicate directive to employees, including the chief engineer, clerical staff, and building engineers.
D. Be thoroughly knowledgeable of policy and procedures that might effect day-to-day operations and administer these policies in a manner consistent with Lincoln Property
Company.
E. Responsible for the administration of contract services performed by outside contractors to the building. Primarily, but not limited to, janitorial, security, parking, landscaping, metal refinishing, window washing, etc.
F. The Property Manager is responsible for assisting, training, teaching, guiding and testing the
Assistant Manager. This is absolutely essential for the growth and development of the
Assistant Manager. Upon completion of the training period, the Assistant Manager will be reviewed by written and oral exam from his peers.
G. Responsible for the administration of all tenant leases in full compliance with lease provision.
Along with the Property Manager, the Assistant Property Manager is responsible for the timely determination of escalations, timely collection of all rents and for undertaking appropriate action to lease available space within the building.
H. Responsible for ongoing meaningful communications with the Owners Representative of the property and the appropriate Accounting Controller.
I. Under the direction of the Property Manager, responsible for the day-to-day financial management of the property with specific attention to accounts receivable, collection activities, financial analysis, maintenance of accounts payable on a current basis (taking advantage of discounts wherever possible) and the maintenance of all necessary financial records and files in an accurate and timely manner.
J. Charged with full compliance of all policies and procedures with respect to the administration of personnel employed, as part of the approved staffing tables.
K. Accountability for compliance with on-the-job training activities for subordinates and trainees, working within the policies and procedures set out by Lincoln Property Company.
L. Maintain a professional appearance and manner at all times while on the job.

Summary
In the execution of these responsibilities, an Assistant Property Manager is held accountable for his/her independent action, within the guidelines of the Position Description, Business Plan,
Action Plan, and Budget, with primary emphasis on visible, hands-on management of the property.
