Job Summary

The Associate Director, Operations position supports the management of the operational facilities Drexel-maintained buildings (e.g., residential housing, dining facilities, bookstores, etc.). This position is assigned as “lead” for specified properties and areas. The Associate Director works with and maintains excellent working relationships with internal partners like University Facilities and Custodial Services to communicate maintenance and operational requests. This position also serves as the liaison between third-party partner(s) and university operations partners (e.g., University Facilities).

Essential Functions

  • Oversee the implementation of daily inspections (quality assurance checklists) of the assigned operational facilities.
  • Review work order requests daily from the work order management system. Provide timely follow-up with internal partner department(s) to ensure prompt resolution of checklist findings.
  • Work with the Executive Director, Operations, to set service-level expectations with partner service departments.
  • Manage, coordinate, and schedule vendor access. Audit the work order management system (quarterly at minimum) to close out completed work.
  • Manage lifecycle (maintenance, repair, replacement) of equipment (e.g., furniture, lighting, flooring. etc.) in assigned operational facilities.
  • Provide project management of assigned operations projects to ensure on-time, on-budget, and within-scope completion.
  • Assist in the research of equipment and estimate collection.
  • Utilize the university’s purchasing system to submit requests for purchase order approval.
  • Provide suggestions for operational enhancements or efficiency improvements.
  • Serve as the DBS primary point of contact for Drexel University Facilities related to Drexel-owned buildings facilities.
  • Monitor University Facilities service agreements to ensure quality compliance.
  • Develop and implement quality assurance processes for internal partners that track performance to minimize contractual risk.
  • Manage associated operational budgets.
  • Work with Drexel Business Services Finance and Administration to ensure accuracy of cost center usage for expense and assist with charge-back documentation.
  • Serve as an operations expert for the Drexel Business Services team.
  • Develop and provide training as needed. Provide insight to best practices, industry trends, facility management, equipment maintenance, and replacement.
  • Provide continuous improvement (enhancements or efficiency) recommendations that best support the program.
  • Assist in the research of equipment and estimate collection.
  • Provide suggestions for operational enhancements or efficiency improvements.
  • Responsible for maintaining uniformity and updating Standard Operating Procedures (SOPs) related to assigned operational facilities.
  • Support the distribution of service-related communications to residents (or other stakeholders).
  • In collaboration with the Executive Director, Operations, maintain university record of space within division of Student Life.
  • Represent the department on committees and initiatives, including but not limited to the preparation of, or presentation of, department information.
  • Other duties as assigned.

Required Qualifications

  • Minimum of a Bachelor’s Degree or Equivalent.
  • Minimum of 5 years of experience.
  • Ability and willingness to work a flexible schedule, including nights and weekends as needed. This position serves as an on-call support position for emergencies.
