Central Services Specialist II
Job description
Under the supervision of the Director of Central Services and Business Continuity, performs a variety of technical and moderately complex paraprofessional duties, including administrative, budget, purchasing, and other activities, as required by the Central Services division.
Responsibilities and DutiesCustomer Service
- Responsible for operation and maintenance of the customer service at the Central Services window for the agency. Distribute office supplies and report supply inventory needs.
- Serve as courier for the agency and retrieve and deliver materials from Post Office, State Capitol, and other locations as needed.
- Provide delivery of agency deposits to financial institution.
- Serve as primary back-up and relief to the OSRHE Main Reception.
- Stock paper at copy and print stations.
- Delivery of goods to agency divisions and off-site storage.
- Stock supplies at coffee bars and break rooms and reorder coffee bar supplies.
- Coordinate vending machine restocking and accompany the vendor.
- Coordinate and assist with furniture moving for office relocations and surplus.
- Manage conference room reservations and set-up per requested configurations.
- Coordinate warehouse maintenance, including housekeeping and sorting and placing materials on racks.
- Coordinate general maintenance and repair on all department equipment, including ice machines.
- Coordinate the loading and delivery of State Surplus Property Transfers of equipment or furniture.
- Serve as primary for sorting and distributing daily incoming mail. Serve as the primary agency contact for processing daily outgoing mail and reporting postage needs.
- Process daily outgoing mail and report postage needs.
- Process the arrival and shipment of packages.
- Serve as the agency Postmaster and Liaison to the United States Postal Service.
- Serve as primaryfor 2 North Conference Room requests.
Administrative
- Compile and distribute monthly copy, postage, shipping, and office supply reports.
- Prepare requisitions for Funds 210, 718 and 701, as required.
· Perform accounts payable functions.
- Update intranet content regarding mail, postal rate changes, and supply request form changes
- Assist with fixed asset receiving, reporting, and physical inventory.
- Assist with the maintenance of the IT inventory for Core and OCAP and assist with the surplus of outdated inventory.
· Assist with annual budget preparation.
- Assist with maintaining agency phone lists.
- Serve as back up for maintaining key inventory, including key assignment for offices and modular furniture.
- Serve as back up to Parking Liaison with OUHSC and maintain building and parking access requests and records.
Copy and Print Services
- Serve as primary back-up for print, bulk copy and other time-sensitive projects with the assistance of the Central Services Coordinator. Projects include but are not limited to: agenda prep and formal printing, printing Chancellor presentations, and thermal or spiral binding of documents.
- Prioritize and monitor status of jobs to completion and deliver by due date in collaboration with requesting department. Follows copyright law, confidentiality and careful handling of original and/or sensitive documents.
- Complete print and binding requests, including planning and layout of work to ensure quality of finished product.
Other similar duties as assigned.
Minimum QualificationsHigh school diploma or GED required. Must have the ability to plan and organize work and communicate effectively with all levels of personnel. Must have a valid driver’s license with a good driving record. Customer service skills and ability to work independently with little supervisory direction required. Understand and adhere to all applicable safety rules.
Must have two (2) years of general office experience or an equivalent combination of post-secondary education and work experience.
Preferred QualificationsComputer skills with working knowledge of Excel and Word preferred. General accounting experience a plus.
SupervisionThe employee performs work under the supervision of the Director of Central Services and Business Continuity.
Work Hours Agency offices are open to the public from 8 A.M. to 5 P.M. Monday through Friday. These are the normal office hours for Agency employees. Physical DemandsAbility to sit and stand for extended periods of time. Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator and other office equipment. Ability to see and read a computer screen and printed material with or without vision aids. Ability to hear and understand speech at normal levels, with or without aids. Ability to communicate clearly. Physical ability to lift up to 25 pounds (on occasion up to 50 pounds), to bend, crawl, stoop, climb stairs or ladders, walk and reach. Must use the proper manual handling equipment including but not limited to dollies, carts and lift team members. Duties are normally performed in an office environment with a moderate noise level.
