The Client Based Services Representative is a full time position based out of the main office in Cocoa Florida, scheduled day shift hours Monday - Friday and provides general administrative, clerical, and customer service support to the Brevard Senior Nutrition Program.
Essential Duties and Responsibilities
- Collects referral information from potential clients by telephone
- Explains programs and answers questions concerning program operations, eligibility and requirements.
- Records new referral information and provides to the appropriate Area Supervisor
- Records “New Start” information provided by Area Supervisors
- Informs the Program Director of concerns, and changes in program status
- Follow procedures for “Non-Responses”, records efforts, and documents conclusion
- Responds to incoming telephone calls, receiving and directing messages to the appropriate staff
- Assist Meals on Wheels volunteers with non-response information and other delivery concerns
- Actively engages in training to maintain sharp data entry and computer skills
- Enters new Meals on Wheels Volunteer Driver information into VOLS database and reconciling Route Sheets
- Assists Program Director in documenting, verifying and quality control of timekeeping and mileage
- Assists office staff with a variety of duties including filing client paperwork and other reports, performs other duties as assigned
- Maintains program forms - masters and duplicates
- Secures Dietitian’s signed approval of menus, copies and distributes menus on a monthly basis to Seniors at Lunch and Meals on Wheels staff
- Verifies Seniors at Lunch client donations mid-month / month end
- Submits referrals to Space Coast Area Transit to obtain transportation for Seniors at Lunch participants
- Prepare and assist with bulk mailing of monthly Meals on Wheels donation letters
- Cross-train to maximize performance of job duties
- Ability to work a flexible schedule as the staffing schedule requires to achieve optimum coverage
Education
- High School Diploma / GED
- 1-3 years’ experience in an office setting
Skills/Competency Requirements
· Strong Microsoft Office skills including ability to navigate database applications
· Experienced to handle a multiple-line telephone system
· Knowledgeable of customer service best practices, principles and processes
· Able to effectively communicate with clients and volunteers
Working Environment
· Works indoors in office environment and works occasionally at venues outdoors
Physical Requirements
· Able to work for an extended period of time while sitting and standing, frequent bending, and reaching.
· Able to occasionally lift up to 25 lbs.
