Administrative Assistants are tasked with a wide variety of responsibilities in an office environment, including organization, maintenance, and operation of office equipment, setting up meetings and appointments, corporate accounting procedures and answering phones. We are looking for a dedicated individual who maintains a professional attitude and has strong communication skills. The Administrative Assistant will be accountable for the upkeep of calendars and computer files as well as compiling reports for executive staff.
Essential Requirements and Skills:
- Position requires a minimum of 2 years experience in a construction related business
- Proficient in Microsoft applications including Word, Excel, and Outlook.
- Have knowledge of construction materials and processes
- Demonstrates excellent skills in producing correspondence and documentation, organizing records and filing.
- Possesses excellent command of English language including both verbal and written skills
- Demonstrates proficiency in operating personal computers and performing routine calculations.
- Demonstrate ability to apply principles of logical thinking to define problems, collect client’s data, establish facts, draw valid conclusions and initiate appropriate courses of action.
- Must be comfortable in hands on work environment.
Responsibilities:
- Tracking timesheets for field personnel
- Input field personnel time, material and equipment into proprietary database for payroll
- Create Job Hazard Analysis (JHA) for field crews on a daily basis.
- Solicit vendors for material pricing.
- Compose proposals to customers after information is provided by estimator.
- Provide general administrative support which may include filing, record keeping and maintaining accurate and complete project files.
- Provide support to office staff and vendors.
- Maintain electronic filing system
- Prepare project documentation for construction teams
Work Hours:
- Arrive and work from job site office each day Mon-Fri.
- General work hours are 6:00 am – 2:30 pm and 5-day work weeks are standard. Note that work hours and workdays may slightly vary (changes, additions, etc.) based on critical work activities.
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
