InStore Technology (InStore) is a growing, locally-owned business headquartered in Seattle, Washington that sells, installs, and services point-of-sale and other technology systems in support of independent grocers across the Pacific Northwest and Alaska.

Job Description:

InStore is looking to hire a Customer Operations Admin. The Customer Operations Admin ensures that we are consistently meeting our customer’s needs. This team member will play a critical part in serving our customers by acting as the bridge between our customers and our operations team to ensure service delivery and the highest level of satisfaction.

Scope of Role:

  • Assist with the sales cycle: generating sales quotes, converting quotes to sales orders, generating purchase orders with vendors and receiving equipment into inventory
  • Reconcile inventory receiving with invoices, liaise with third-party accounting firm to ensure all details are in order
  • Generate billing for customers for installation expenses from employee expense reports
  • Manage customer contracts: evaluating contracts for renewal, working with the CEO on determining appropriate pricing changes, evaluating and communicating with the customer and sales team on obsolete equipment that requires refresh
  • Work with warehouse staff to ensure customer orders are complete before shipping
  • Assist with shipping of customer orders to stores
  • Assist with physical inventory audits
  • Generate and reconcile cycle billing for service contracts
  • Verify equipment on contract following swap of covered equipment
  • Occasionally covering the phones for our dispatcher; keep up with service call resolution

Requirements and Experience:

  • Customer service orientation with an interest in operations
  • Associate’s degree required / Bachelor’s degree preferred
  • Excellent computer skills, including Microsoft Word and Excel, and ability to learn eAutomate (our enterprise resource planning system)
  • Excellent interpersonal and communication skills; ability to communicate clearly and concisely both verbally and in writing
  • Ability to work effectively as an integral team member, establishing relationships with internal colleagues and external clients and vendors
  • Ability to complete tasks on time with accuracy and with strong attention to detail
  • Ability to work with integrity, trust and commitment

Compensation, Benefits, Other:

  • InStore offers a competitive pay and benefits package, including, medical, dental, vision, 401(k), holidays and paid time-off (PTO).
  • Expectation is onsite 40 hours per week, Monday through Friday
  • Casual but professional office attire
