JOB DESCRIPTION

Title: Distribution Office Assistant

Department: Warehouse - Ayer

Reports to: Distribution Supervisor

Ideal Schedule M-F 9-6pm with the ability to work occasional Saturdays

Summary of Position:

As part of the Distribution office team in Ayer, will provide office team support and additional tasks requiring some decision making (based on training provided for daily office support). Tasks will include (and not be limited to) answering the phone, monitoring shipments and reviewing customer orders, and tracking specific workflows.

Essential Job Duties:

 Back-up to office team in receiving and directing incoming /outgoing calls.

 Receive and coordinate shipping/receiving appointments from carriers and/or customers and Outlook calendar.

 Review customer orders to make certain that carriers are assigned to those orders.

 Monitor any customer shortages on pick tickets; make appropriate changes to fill the pick tickets before the order ships.

 Ensure that all “add-ons” to orders match the original orders.

 Check in drivers and assign doors to those drivers.

 Monitor outside driver wait times and reports.

 Distribute orders to Distribution staff when needed.

 Coordination with production manager is essential, on a daily basis.

Job Requirements:

  • Bilingual preferred - English and Spanish

 High school education or equivalent along with a minimum of 2 years’ experience as an Office Assistant/ Office Coordination role, in an office manufacturing environment is necessary

 Demonstrate consistent attention to detail and commitment to accuracy

 Computer experience required. Intermediate skills with Word, Excel and Outlook is a must

 Working knowledge of standard order entry software used in a manufacturing environment is a plus. Experience with JD Edwards or similar software preferred.

 Exhibit strong interpersonal skills for ongoing communication with internal and external customers

 Effective problem-solving skills coupled with strong telephone skills

 Ability to work in a fast-paced environment effectively

 Consistently demonstrate a high level of professionalism with internal and external customers

 Ability to work flexible hours as needed.
