Job Summary: Under the direction of the Energy Program Manager, this position is responsible to identify and schedule eligible participants for The Minnesota Energy Conservation Weatherization Program utilizing Energy Conservation’s electronic workflow and several databases within prescribed timelines. The Energy Program Associate will utilize energy program knowledge to identify and document qualification information and advocate for and communicate with participants.

Duties and Responsibilities (Not all inclusive):

  • Provide intake services according to program regulations. Screen for participant eligibility.
  • Inform participants about the energy audit, mechanical, weatherization, and inspection processes, as well as program guidelines.
  • Perform intake screening, respond to participants in an emergency situation by verifying crisis, and determining eligibility.
  • Interview and assist the participant by communicating the qualification process, processing timelines, and scheduling the work.
  • Respond timely and appropriately to participant requests or inquiries. Ensure that participants are informed when additional information is required. Problem solve as necessary to obtain critical information to complete the qualification process. Initiate action and communicate results.
  • Maintain a quality customer service process; educate participants on all weatherization work to be performed, and provide outside referral information as needed. Establish and maintain collaboration with other Community Actions services, emergency services providers, energy vendors and community resources to meet the needs of participant’s basic needs. Identify current community information that should be made available for clients.
  • Consistent interpretation and implementation of policies and procedures while qualifying participants and determining eligibility. Systematic processing of participants through department electronic workflow. Accurate data entry, including inputting household data from documents within time limits.
  • Follow all applicable laws and program regulations regarding, collection, maintenance and dissemination of private (sensitive) data, including secure email practices.
  • Maintain document intake workflow and files on the electronic records database (Laserfiche) and other program databases to ensure report accuracy and program file integrity.
  • Management of incomplete information; (time sensitive letters, phone calls, information requests and matching follow up information with files).
  • Other duties as assigned.

Requirements

Education & Experience: AA degree in an administrative support, business or social services field and 1 year of experience in social services, customer service or related field, or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job. Experience including intake, referral, advocacy and outreach preferred.

  • Must be able to work as a team member in a multi-focused environment
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office Suite
  • Ability to relate to and communicate effectively with a variety of multi-ethnic and socio-economic groups and/or individuals
  • Conflict management skills to handle difficult and/or stressful participant interactions
  • Strong analytical and problem-solving skills
  • Customer service, negotiation and crisis intervention skills
  • Ability to actively listen and ask questions to problem solve
  • Ability to type a minimum of 40 words per minute preferred

Salary: $19.71/Hr, $20.19/Hr (Bilingual)

Schedule: M-F, 40 Hours/Week
