Role Overview

The Event Service Assistant (ESA) provides a broad range of administrative support to the Client Service Team. The primary role is to work with our resort partners to keep dates/rates/availability as up to date as possible. The ESA will also provide direct support to the VP of Event Service.

Responsibilities

  • Research hotel availability to keep dates and rates updated and accurate.

  • Manage database where resort information is stored, tracking holds, contracts, and coordinating with teams on availability.

  • Work with Event Service Managers to update internal resort resource document.

  • Assist in research for new resort properties.

  • Help coordinate site visits and travel for the Event Team as needed.

  • Provide administrative support to the VP of Event Service

  • Work with Client Service Specialists to assist in pre-event prep as needed.

  • Accomplish other objectives, as necessary or assigned. Other activities related to Major Donor Events or company related projects as assigned from time to time.

Qualifications

Experience

  • Previous experience in the event or hotel industry is preferred

  • Experience booking travel and organizing itineraries

  • Experience with basic administrative duties such as calendar management, and processing expense reports

Skills

  • Excellent verbal/written communication

  • Experience using email/calendaring and Google suite

Education

  • Bachelor’s degree or equivalent work experience
