Role Overview
The Event Service Assistant (ESA) provides a broad range of administrative support to the Client Service Team. The primary role is to work with our resort partners to keep dates/rates/availability as up to date as possible. The ESA will also provide direct support to the VP of Event Service.
Responsibilities
Research hotel availability to keep dates and rates updated and accurate.
Manage database where resort information is stored, tracking holds, contracts, and coordinating with teams on availability.
Work with Event Service Managers to update internal resort resource document.
Assist in research for new resort properties.
Help coordinate site visits and travel for the Event Team as needed.
Provide administrative support to the VP of Event Service
Work with Client Service Specialists to assist in pre-event prep as needed.
Accomplish other objectives, as necessary or assigned. Other activities related to Major Donor Events or company related projects as assigned from time to time.
Qualifications
Experience
Previous experience in the event or hotel industry is preferred
Experience booking travel and organizing itineraries
Experience with basic administrative duties such as calendar management, and processing expense reports
Skills
Excellent verbal/written communication
Experience using email/calendaring and Google suite
Education
Bachelor’s degree or equivalent work experience
