The Executive Assistant performs a wide variety of administrative and office support to multiple operational departments that contain front line managers as well as senior management to help the team operate efficiently. This role is very important because it helps create capacity for management to focus on the goals and initiatives of the organization while ensuring critical support tasks that impact our team members are resolved with the appropriate level of attention and care. This would be an excellent opportunity for an energetic & enthusiastic person who likes working in a fast paced, changing environment and would like to be an integral part of a management team.

The primary responsibilities of the position include:

  • Document and spreadsheet management, special projects and research as assigned.
  • Calendar/Schedule management and meeting room coordination
  • Internal and external correspondence assistance
  • Coordinating office supply inventory and printer repair/replacement
  • Payment and approval request processing
  • Expense reimbursement processing for some
  • Travel coordination
  • Coordinating large and small staff/team events
  • Errands as necessary
  • Shipping, mailing and notary duties
  • Mail sorting and processing
  • Various additional responsibilities as assigned

Position Requirements:

The ideal candidate will have the following skills and experience:

  • 3- 5 years of commensurate administrative experience
  • High School diploma or equivalent required. Bachelor’s degree strongly preferred
  • Must display and possess strong interpersonal skills, personal integrity, and be able to interact effectively with staff and management throughout the Company in a prompt and professional manner, on a wide variety of operational, strategic, and planning-related issues
  • Displays a strong initiative, a desire to learn new skills and/or processes quickly, and excellent organizational and planning skills
  • Ability to manage multiple projects simultaneously with competing deadlines and excellent attention to detail
  • Strong team player with the ability to work independently as well and use strong problem-solving skills to obtain results
  • Should be able to thrive in a fast-paced environment with the ability to exercise good judgment and composure in a variety of situations
  • Ability to observe and anticipate the needs of a team to identify ways to insert assistance to maximize the capacity of each team member
  • Self-driven and solution oriented.
  • Ability to maintain a high level of discretion in handling confidential information
  • Strong technical proficiency with MS Office products, and other software as needed
