This position is for a flexible, focused, detail-oriented Executive Administrative Assistant to manage the daily activities of the CEO and her outside vendor teams. The successful candidate will be capable of handling multiple tasks simultaneously with the highest level of responsiveness, producing clear and actionable deliverables quickly and with minimal oversight.

The ideal candidate will bring executive-level skills, experience, and polish to the role, coupled with the self-motivation and foresight to anticipate problems before they happen. This role requires a professional communicator who is persuasive and efficient. Core requirements include exceptional attention to detail, consistently delivering on commitments, and the ability to work independently with little supervision.

This role requires an in-office presence in Glendale, Los Angeles area. Only candidates currently local to the Los Angeles area will be considered.

  • Manage all administrative tasks such as a calendar, communications, travel, expenses, and access to the CEO.
  • Plan, schedule, and support often-complex domestic and international travel itineraries that include meetings, presentations at conferences and trade shows, social events & obligations, and factory visits. Organize events, including costumer visits & vendor oversight
  • Manage projects including following up with vendors to ensure follow-through on CEO priorities, managing a list of new product coming to market with actionable next steps, and preparing reports and updates for the CEO.
  • Keep an eye on CEO’s pressing items requiring her attention and follow up with her for completion of meetings; manage agendas, take and share notes on discussion and action items, and manage follow-up.
  • Act as a sounding board for the CEO, including giving critical feedback on drafts and messaging and independently coming up with ideas for both content and presentation
  • Provide general company oversight including managing files, office supplies, maintenance, IT, etc.

Technical Skills

  • A high degree of Dropbox, Google platforms, Apple & PC Pages/Word, Outlook, Excel/Numbers, PowerPoint, Teams and email programs.
  • Company file system and organization
  • Experience with Online Quickbooks
  • Social media platforms knowledge a plus!

Qualifications

  • Bachelor's degree preferred, or relevant experience in place of a bachelor's degree.

Job Type: Full-time

Pay: $25.00 - $32.00 per hour

Schedule:

  • Monday to Friday
  • Weekend availability
