Part-time Executive Administrative Assistant


Our client in Pontiac, IL is looking for an experienced Executive Administrative Assistant to join their team. This part-time position provides compensation commensurate with experience and the position has flexible hours.


Whats in it for you?

What will you be doing?

  • Assist with day-to-day clerical duties including, but not limited to: writing letters, memos, ordering or pickup supplies as needed, daily mail pickup and sorting, handling office calls, and voicemail.
  • Prepare invoices, monitor past-due invoices, and work with third-party vendor payees for remittance.
  • Prepare new member packets, track, and record membership payments.
  • Prepare expense reports.
  • Assist in preparing real estate request for proposals research.
  • Upload documents and request for proposals spreadsheets to Intersect Illinois.
  • Prepare PowerPoint presentations.
  • Monitor pending projects to ensure organization and timeliness of follow-up.
  • Create and update all marketing brochures.
  • Organize and maintain confidential files and office records.
  • Update the company website.
  • Prepare e-blasts and quarterly newsletters via Constant Contact.
  • Office and facility management.
  • Assist in coordinating fundraising events and meetings including: sending invitations, recording ticket sales, monitoring payments, creating promotional materials, and working with the event venue.
  • Schedule appointments in outlook.
  • Attend all monthly executive meeting at the company office, and four quarterly board of director's meetings at various locations throughout Livingston County.
  • Take meeting minutes.


What do you bring?

  • Minimum of three years experience as an executive assistant or office manager.
  • Must be available daytime hours with occassional afternoon hours
  • Proficient in Microsoft Office Suite; i.e. (Word, Excel, Outlook, and PowerPoint) Adobe Acrobat and Constant Contact.
  • Must be professional, detailed oriented, and meticulous.
  • Excellent organizational skills.
  • Strong written and verbal communications skills.
