This senior-level position will provide expanded administrative support directly to the CEO/Broker of the company. This position will apply specialized technical and professional principles and skills to solve complex administrative issues. This position must demonstrate the ability to work independently and exercise effective and appropriate independent judgment.

GENERAL DUTIES AND RESPONSIBILITIES:

  • Assist President/Broker with administrative issues; compose correspondence, memorandums and arrange meetings; travel coordination etc. Coordinate all the activities concerning President/Broker which will include contacts with outside individuals, vendors, and agencies.
  • Assist with the coordination, formatting, and proofreading of Listing Contracts, Leases etc.
  • Serve as liaison for the President/Broker. Provide a bridge for smooth communication between the President/Broker and other internal/external stakeholders, demonstrating leadership, trust, and support with others.
  • Liaise with vendors and other outside resources to get products or services that are needed.
  • Organize meetings, including preparation of all supporting materials.
  • Prepare a variety of written documents, including minutes from formal meetings, special reports, contracts, presentations etc.
  • Navigate/maintain heavy calendar management – including discussing the calendar items with the President/Broker every morning at the start of the work day and being mindful and bringing to their immediate attention any scheduling conflicts that arise
  • Track and follow up on various assignments from the President/Broker
  • Assist with contract execution coordination, payment requests, and procurement processes.
  • Work on Special Projects as they surface and are implemented.
  • Identify and solve problems or issues, develop alternatives and make specific recommendations to the President/Broker.
  • Conduct oneself in the best interest of the President/Broker and affiliates
  • Perform other related duties as assigned.

QUALIFICATIONS:

  • Three (3) to five (5) years or more successful experience supporting a senior executive in real estate, finance, not-for-profit or complex business environment performing high-level administrative duties
  • A bilingual Speaker (Spanish/English) is preferred but not required
  • Proficient in time management and prioritization as the day goes on priorities can and will change
  • Strong knowledge of general business and corporate cultures
  • Ability to handle highly sensitive, confidential, and non-routine information
  • Thorough knowledge of general office business machines and modern administrative practice procedures.
  • Ability to communicate effectively, both orally and in writing.
  • Independent thinking and problem-solving skills.
  • Knowledge of current computing technologies and software applications appropriate to the position’s job responsibilities (i.e., PowerPoint, Excel, Adobe, Microsoft Word, Google Suite).
  • Must possess a valid driver’s license and vehicle insurance or have other means to enable travel locally and non-locally, including getting to work and going to other locations during the day for meetings, etc.

Job Type: Full-time

Pay: $40,000.00 - $60,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday

Experience:

  • Microsoft Excel: 1 year (Preferred)
  • Microsoft Powerpoint: 1 year (Preferred)
