Job Description

The Executive Assistant will work with upper management and play an integral role in the Magic Leap environment. This opportunity has tremendous growth potential within this enticing organization. Responsibilities

  • Must be able to work in a team environment with other Assistants
  • Must know how to prioritize for your executive(s) and be able to manage, juggle, and reorder accordingly
  • Be able to drive alignment across the executive team and their direct reports
  • Must be customer centric and be able to interact with partners and potential customers
  • Maintain multiple executives calendars and synchronize as needed
  • Plan all meetings/events and secure any resources which may include creating timelines, agenda items, and background materials
  • Liaison between employees and the Executives
  • Handle independent projects such as research, visit coordination and project alignment/management
  • Prepares materials such as meeting briefs and/or summary's for exec meetings (internal and external)
  • Respond to emails and correspond appropriately and communicate messages in a timely manner to the Executives
  • Maintain an efficient filing system thru Google Drive
  • Use appropriate professional judgment to keep abreast of any changes, issues, or concerns that may impact daily activities and/or schedules
  • Coordinates complex itineraries involving domestic and/or international travel
  • Perform other related duties incidental to the work described herein
  • Sensitivity to confidential matters is required
  • Submit expense reports
  • Must be able to use best judgment to execute, sometimes without direction, or know when to ask for assistance
  • Feels comfortable working independently and always takes initiative

Qualifications

  • Must possess strong knowledge of MS Office Applications, Google Suite Applications, and additional related software knowledge
  • First-rate organizational skills
  • Experience working with high-level executives
  • Friendly and upbeat with a positive attitude and low ego
  • Strong spelling and grammar acumen
  • Excellent interpersonal, communication and customer service skills
  • Ability to manage a variety of tasks successfully
  • Talent and desire to deal with high-pressure situations and in a fast paced environment
  • Ability to prioritize tasks efficiently
  • Proven ability to interact professionally within and outside the organization
  • Must be a self-starter and detail-oriented
  • Ability to work individually and in a team environment
  • Proven ability to deal with sensitive and confidential information
  • Must have sense of urgency
  • Can identify with leadership qualities

Education

  • Bachelor's Degree preferred; Minimum certificate from college or technical school, willing to consider extensive experience over education where applicable
