Executive Assistant – Bealls Inc.
FUNCTION:
Assist the President & Chief Retail Officer and performing tasks that require advanced skills in organization, confidentiality, planning, communication, knowledge of operations and objectives, and overall knowledge of other departments.
INTERACTION:
- Reports directly to the President & Chief Retail Officer.
- Extensive interaction with Beall’s corporate associates, executives, and other executive assistants.
- Regular interaction with external constituents including venue and partner contacts.
- Some interaction with various people throughout the company, including store personnel, other Corporate Center departments, and customers.
SUMMARY OF DUTIES AND RESPONSIBILITIES [Essential Functions]:
- Provide administrative support to executives including copying, filing, organizing, archiving, problem solving, and day-to-day office coordination.
- Manage scheduling of executive calendars, special events, and corporate functions.
- Initiate and produce reports, presentations, and documents as required by executives.
- Coordinate compilation of routine statistical reports and monthly objective update documents.
- Coordinate departmental events as assigned.
- Work with corporate services to provide logistical support for training events, meetings, and large events.
- Process weekly payroll time sheets.
- Process p-card accounting and expense reports for assigned individuals.
- Order and maintain office supplies.
- Perform other duties and responsibilities as assigned.
QUALIFICATIONS:
- High School diploma or equivalent is required.
- Some college or degree preferred.
- Proficiency with Microsoft Suite, including but not limited to: Excel, PowerPoint, Work, Outlook, One Note.
- Must consistently convey a professional and positive approach.
- Ability to handle confidential matters with maximum discretion.
- Excellent written and oral communication skills.
- Excellent telephone and customer service skills.
- Must be highly organized, detail-oriented, accurate, and demonstrate urgency around project completion.
- Ability to gather data, compile information, and prepare reports.
- Ability to analyze and solve problems.
- Able to set clear goals and expectations for self and hold self-accountable for achieving all objectives. An ability to quickly change priorities.
- Ability to multi-task and prioritize.
- Ability to foster a collaborative work environment.
PHYSICAL DEMANDS:
- Must have adequate vision, speech, hearing and physical ability to perform essential job functions, with or without reasonable accommodation.
- Must have full body rotation and mobility (i.e., bending, stooping, twisting, and reaching).
- Must be able to list and carry at least 25 pounds.
- Occasional local travel.
