Executive Assistant-Human Resource Assistant

This is a full-time in office position. This is NOT a remote position.

This position requires someone who is organized; has excellent communication skills; shows initiative, and drive; and the ability to set priorities and handle multiple tasks simultaneously with little direction.

The Executive Assistant supports the CEO by providing executive support in a one-on-one working relationship. As an HR Assistant you will support the HR Recruiters.

This position deals with highly sensitive, confidential information and interacts with a diverse group of key management, customers, and vendors. A high degree of professionalism and strong independent judgment is required to plan, prioritize, and organize the CEO’s busy schedule to include personal and business activities.

The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Experience:

  • 3 years’ experience in an administrative role reporting directly to upper management
  • Superb written and verbal communication skills
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Proficiency in Microsoft Office, Excel and other office productivity tools, with the aptitude to learn new software and systems
  • Proven ability to function effectively in an independent environment with discretion.
  • Understanding confidentiality, discretion, and adaptability in various competing demands
  • Detail Oriented
  • Strong interpersonal skills with the ability to build relationships
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge

Job Responsibilities:

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas
  • Compiling documents for meetings, taking notes at meetings at the CEO’s request, setting up TV/Computer for Zoom meetings
  • Perform administrative and office support, such as letters, dictation, spreadsheet creation, emailing, maintenance of filing system, and contact database
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Answer phone calls for the CEO; take messages; answer all routine and non-routine questions.
  • Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy

· Assist in Scheduling and Contracting crew members.

· Assist in arranging flights to and from the vessel.

· Assist in maintaining crew lists, personnel files, unemployment records, etc. for all crew members

· Schedule various trainings for crew members

  • Various other tasks as assigned

Work Environment/Physical Demands:

Generally, sitting in front of a computer and/or in meetings, Must have driver’s license and personal vehicle.

Job Type: Full-time

Pay: From $50,000.00 per year
