Alma Bank is currently looking to hire an experienced Administrative Assistant. This position would be located in Long Island City, Queens. Salary will be commensurate upon experience and in the range of $65,000 - $85,000 per year.


Summary:

As Executive Assistant to the President, you will be primarily responsible for maximizing the President’s time and promoting a positive company image. Through your duties as a liaison, you will maintain relationships between the President, his executives, employees and the Bank’s customers.


Duties and Responsibilities:

  • Professionally represent the Bank’s President when greeting guests, organizing company events, reviewing correspondence and responding to inquiries made by the President.
  • Produce the President’s Report to the Board of Directors, which includes summarizing Bank’s activities and performance
  • Oversee the logistics and planning for the monthly board meetings and annual shareholder meeting.
  • Assist the Corporate Secretary with maintenance of the Bank’s corporate records.
  • Develop itineraries and agendas including scheduling flights, arranging other transportation and booking accommodations.
  • Complete special projects as assigned by the President.
  • Actively seek to improve professional skillset and capabilities through active engagement in industry organizations and events, partaking in education opportunities and membership in relevant professional organizations.
  • Maintain effective daily operations and make suggestions for process improvements when necessary.
  • Assist in the preparation of reports, memoranda, exhibits, letters, and graphics for projects, presentations and other administrative assignments
  • Coordinates schedules and makes appointments, prepares agendas, records and transcribes minutes of meetings
  • Coordinate vendor payments with the Accounting Department as necessary
  • Assist in the preparation of vendor contracts as required
  • Follow up with other employees on any task assigned by the President


Education and Experience:

Bachelor's degree (B. A.) from a four-year college or university; or three to four years related experience and/or training; or equivalent combination of education and experience.
