PURPOSE
The purpose of this job is to serve our members, customers and co-workers.
SUMMARY
This position assists the President in carrying out his/her responsibilities. It provides any administrative and liaison support required to allow the President to best use his/her time. This position manages the operations of the Executive Office.
ACHE is a hybrid work environment, requiring
3 days per week in our Chicago loop office.
JOB FUNCTIONS
- Executive Support Activities 60% of Time
- Completes a broad variety of administrative tasks for the President including: manage the President’s calendar; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries and materials for travel-related meetings.
- Manages email and prioritizes for review and response
- Prepares written and oral communications as needed by the President, including slide decks for presentations and meetings.
- Supports the President in building and maintaining relationships with other professional organizations, as well as in managing the internal Development, Business Excellence and Chapter Relations areas.
- Assists Chief of Staff in creating and maintaining Executive Office budget.
- Manages posting of organization wide reports and ensures timely submission.
- Maintain the President’s hardcopy and electronic filing system.
- Governance Activities 20% of Time
- Assists with various Board, Nominating Committee, Council of Regents and committee process activities, meetings and reports.
- Provides assistance in communications involving the Chairman Officers and Board of Governors of ACHE.
- Special Projects 20% of Time
- Provides support and coordination of a wide variety of special projects for the President.
KNOWLEDGE AND SKILL REQUIREMENTS
- Baccalaureate degree or equivalent with course concentration in English, language, arts, or business.
- Minimum of five years assisting executive level/C-suite professionals.
- Must have strong interpersonal, written and verbal communication skills.
- Must be computer savvy and efficient in use of Microsoft Office suite of products.
- Must have advanced skills in preparing Power Point presentations.
- Must have strong customer service orientation and team orientation.
- Good time management and organizational skills.
OTHER REQUIREMENTS
- Must possess sound judgment, discretion and a high degree of professionalism.
- Must possess a high degree of confidentiality.
- Ability to memorize a wide variety and type of information.
- Ability to make decisions and to respond quickly to situations influencing decision making.
- Must have regular and predictable attendance.
