Grants Administrator

The United Way of Buffalo & Erie County is seeking a Grants Administrator. The Grants Administrator serves as liaison between the Community Impact and Finance departments and is responsible for managing administrative aspects of, and ensuring timely submission of all programmatic and financial reports related to, private, foundation, and government grants received by United Way of Buffalo & Erie County. The Grants Specialist also provides assistance with writing and submitting grant proposals as directed. The Grants Specialist reports to the Director of Grants.

Responsibilities:

  • Maintain accurate and comprehensive calendar of all reports and other deliverables associated with all grants received by United Way and ensure that Program Directors and other staff with grant management responsibilities are made aware of reporting requirements and deadlines with sufficient advance notice to ensure adequate time for completion and submission
  • Working with Finance staff, Community Impact staff and Data Analyst, ensure timely submission of executed grant agreements, required forms and other documentation, and financial and programmatic reports
  • In partnership with program staff and grant partners, develop systems and processes to improve administrative workflows for effective grant management including invoicing, development of boilerplate language for Memoranda of Understanding, and other routine activities
  • Ensure that all grant agreements and Memoranda of Understanding with grant partners are up to date and that partners adhere to all administrative requirements
  • Work with programmatic grant partners to ensure timely and accurate invoicing consistent with the requirements of each funder; review documentation for accuracy and adherence to grant requirements and budgets; process purchase orders in accordance with UWBEC policies and procedures to ensure timely payments to grant partners
  • Monitor grant budgets and expenditures by working with Grant and Financial Accountant to ensure that grant dollars are expended in accordance with budgets as approved by funders, and coordinate administrative aspects of any necessary budget modifications
  • Coordinate administrative aspects of grant proposals including drafting, circulating and collecting letters of commitment from grant partners, Memoranda of Understanding, grant staff resumes, and other required documents
  • Visibly demonstrate United Way values of agility, equity, service, integrity, collaboration, and accountability.

  • Assist with the development of grant proposals, budgets and other application materials


Education, Skills, Knowledge, Experience:

  • 2-3 years of professional experience in the nonprofit sector related to grant administration and management including federal, state, and private sources
  • Strong organizational skills with advanced attention to detail.
  • Ability to manage multiple grants simultaneously.
  • Flexible and highly responsive to internal and external customers
  • Ability to work independently, set priorities and work across departments.
  • Proficiency in Microsoft Office suite including Word and Excel; proficiency in G Suite apps including Docs and Sheets
