EDUCATION AND EXPERIENCE REQUIRED: High School Diploma or GED equivalent, plus two years experience in clerical or secretarial work, preferably related to medical records.

ESSENTIAL FUNCTIONS AND DUTIES:


1. Filing and/or scanning medical record documents.


2. Retrieves/abstracts medical record documents/data as requested for audits, performance measurements, etc.

3. Processes release of information and requests for information to/from outside requestors within 5-15 days.

4. Sets up new records in document management system as needed.

5. Maintains scanned record by applying flags.

6. Assists with purging records from shelves for offsite storage, archival scanning or destruction.

7. Answers incoming calls to main switchboard (PBX) as back-up.

8. Accommodates staff/visitors and manages incoming telephone calls, faxes, and e-mails to Medical Records Department.

9. Processes incoming mail as needed in the absence of Switchboard operator.

10. Processes outgoing mail and affixes correct postage.

11. Conducts quality checks of scanned documents.

12. Monitors departmental printer for incoming faxes and distributes appropriately.

13. Must maintain regular and reliable attendance.

14. Complies with telework/remote agreement.

15. Uses the trauma informed care approach when providing services and working with others.

  • Understands the six key principles of trauma-informed care.

OTHER REQUIREMENTS OR CONDITIONS:

  • Current State of Texas Driver License or if you live in another state, must be currently licensed in that state. Liability insurance required.
  • Must be insurable by Center's liability carrier if employee operates a Center vehicle or drives personal car on Center business.
  • Good driving record as defined by Gulf Bend Center.
  • Must complete all CORE training requirements prior to the due date.
  • Must have computer experience to include: Microsoft Word, Excel, and Outlook. Must have good organizational skills to achieve multiple deadlines. Ability to type 40 wpm.
  • Must maintain regular attendance and reliability which is critical to business operations. This is a fulltime position. Days and hours of work are Monday through Friday, 8:00am to 5:00pm or agreed upon hours 100% of the time, to ensure consistency and completeness of program's processes. Evening and weekend work may be required as job duties demand.
