The Health Information Coordinator handles multiple functions at Eisner Health. This position initiates Electronic Health Record, manages correspondence, and works closely with different departments and providers, supervisors and staff. Duties include managing the Electronic Health record, scanning, filing and managing correspondence. This job requires an incumbent who is extremely detail oriented.

ESSENTIAL DUTIES

1. Files reports and results in Electronic Health Record.

  • a. Must log in to Electronic Health Record system daily.
  • b. Must scan documents into individual folders or the EHR on a daily basis.
  • c. Files loose reports and results in correct section of the EHR.
  • d. Provides the physician with copy of the reports as needed or requested.
  • e. Check physician’s signatures on all reports and results prior to filing.
  • f. Will have access to other programs related to the EHR such as CAIR and Healthport as needed to complete their duties.
  • g. Will request medical records from storage as requested by any department.

2. Maintains quality control of the medical records.

  • a. Maintains and audits charts and lab files for misfiles and missing files.
  • b. Checks for physician signatures on reports, results and correspondence.

3. Performs clerical duties and special assignments as directed by her supervisor

  • a. Answers phones.
  • b. Accepts incoming correspondence to ascertain nature of writers’ concerns and to disposition correspondence appropriately.
  • c. Mails out request for records when presented with properly competed medical release.
  • d. Ensures when copies of outside records are received, that they are filed in the correct section of the EHR
  • e. Responds to requests for medical records and processes requests within 3 business days.
  • f. Transmits correspondence and medical records by mail, e-mail, or fax.
  • g. Work with outside copy service companies, to copy and track medical records requests.
  • h. May pick up and deliver mail or reports to the main site.
  • i. Performs other clerical duties at the direction of the department supervisor or V.P. of Clinical Services.
  • j. May float to other departments as needed.

4. Communication

  • a. Maintains collaborative relationship with other departments and co-workers to provide quality health care service.
  • b. Exhibits a courteous and professional demeanor.
  • c. Demonstrates excellent communication skills, both oral and written; and ability to read and write English.
  • 5. Customer Service:
  • a. Utilizes and follow the Center’s established customer service standards in conducting his/her duties.
  • b. Ensure that his/her co-worker follow customer service standards in conducting their duties.
  • c. Must learn about all the services and programs at the Center so he/she can provide accurate information to customers.
  • d. Works collaboratively and professionally with staff from other departments.
  • e. Performs function(s) and provides coverage for his/her co-workers as needed, and as directed by his/her supervisor.
  • f. Highly developed sense of integrity and commitment to customer satisfaction.
  • g. Communicates in a courteous manner with customers by telephone, e-mail, and face to face.
  • h. Keeps accurate records of discussions or correspondence with customers.

POSITION REQUIREMENTS:

1. Must possess a high school graduate or equivalent.

2. At least one year experience or training In Electronic Health Records.

3. Familiar with community health center setting.

4. Understanding of general office duties and manual and electronic chart filing.

5. Must be computer literate.

6. Work on Saturday’s and evenings may be required.

7. Must have electronic medical records experience.

8. Ability to frequently input data entry into Electronic Health Record and Inventory Records Control Systems such as NextGen and TME.
