Job Title: HR Operations Coordinator
Reports to: HR Talent Manager
Summary Impact Statement:
Serves key role within small but mighty HR team in a successful, established company full of smart, kind people. This role has primary responsibility for managing the data flow into and out of certain HR systems (data entry, reporting, benefits open enrollment set up, etc.). It is a key function in our Onboarding and Offboarding processes: document creation, distribution, Onboarding presentations. Additionally, this seat sometimes serves as first stop for drop-in employee requests for local HR Manager. Last, as an extension of the current team of three (VP People and two HR Managers), this role will make an important contribution assisting in the full variety of work that passes through the department, from the flow of employee change requests through event planning, with many things in between! It is therefore critical that the position maintains and quickly develops a reputation for always delivering exceptional customer service and high discretion and trust.

Primary Responsibilities:
1 – Directly work with HRIS and other HR system data and data sources
- Accurate and consistent data creation and maintenance
- Effective interfacing with companywide managers to ensure timely and accurate receipt of all employee change and pay documents
- Develops understanding of systems to become ‘go-to’ daily maintainer
- Runs reports and supports department with production of ad-hoc and scheduled reports
- Reviews timecard approvals daily to facilitate timely payroll processing
- May partner with Payroll Specialist to ensure effective payroll execution
2 – Key contributor in Onboarding and Offboarding processes
- Significant responsibility in facilitating activities and producing documents around Onboarding and Offboarding:
Set up offer packages; coordinate pre-employment screening processes; communicate with new hires re new start instructions and orientation schedule; continuously improve and deliver orientation program; create new employee online files
Create exit document package
3 – Assist as needed with interview scheduling
4 – Coordinate employee engagement and special events and rewards
- Assist with planning, communication, budget-tracking and set-up logistics for employee engagement events and programs
- Assist with managing and maintaining inventory of employee swag
5 – Manage Department files
- Maintain accurate and updated files for all employees and HR vendors
- Ensure private information compliantly maintained
6 – Maintain generous spirit in helping coworkers and employees with appropriate business issues

Background Requirements
Bi-lingual in English and Spanish is required. College degree is preferred but not required. Minimum of 2 years’ experience in the Human Resources function is strongly preferred. Must be comfortable with using technology and familiar with basic office technology tools and systems. Willingness to learn and grow in responsibilities is critical for this role. Must have keen attention to detail and the ability to check and verify own or others’ work. Must demonstrate the ability to apply critical thinking skills in identifying process and administrative improvements.
Compensation
Compensation for this role will vary dependent on actual experience but we would anticipate paying a base salary between $65,000 – 72,000 for this overtime-eligible role. We provide a full suite of benefits, including an immediately vested 4% 401(k) match. The Company also reserves the right to pay a discretionary bonus.
Physical Requirements
- Long periods of sitting, with the occasional need to walk, stand, use stairs
- Ability to lift 10 pounds
- Close visual acuity to view a computer terminal, analyze reports, manage data and detail
