Human Resources Assistant - Stony Brook CPMP Human Resources
Location: St. James, NY
Schedule: Full-time
Days/Hours: Monday - Friday; 8:30am - 5:00pm
SUMMARY: This position provides administrative support to the various functions of the Human Resources Department by helping to maintain ADP, evaluations, credentialing, employee health data and employee files.
Job Duties & Essential Functions:
- Contributes to and consistently applies Staffco/CPMP policies and procedures to all internal and external HR-related employee inquiries.
- Maintains employee personnel and I-9 files. Reviews all new hire files and periodically audits all files to ensure that credentials (professional licenses and certifications, health assessments, etc.) are consistently maintained, up-to-date and in Compliance with NYS Department of Health, The Joint Commission and other regulatory agencies.
- Coordinate and schedule new employees to attend orientation(s).
- Run monthly reports in ADP to track and manage compliance and demographic data.
- Notify employees of required credential due dates and follow through until evaluations are received and entered into ADP.
- Assist with the performance management procedure to include notifying managers of evaluation due dates and following through until evaluations are received and entered into ADP.
- Provide assistance and support with various HR events, projects, programs, email distribution lists, and mailings.
- Process office supply orders and other purchase orders for the department using Certify.
- Open, sort and distribute mail.
- Perform all other duties as assigned by management.
Required Education & Qualifications:
- Associates Degree, in lieu of a degree, two (2) years of administrative experience.
- One (1) year of administrative experience.
- Must have excellent expressive and written communication skills
- Must be highly organized and able to multi-task
- Must be proficient in Microsoft Office Word and Excel
Preferred Qualifications:
- Bachelor’s Degree in Human Resources, Business Administration or related field.
- Experience with maintaining HR standards compliance by regulatory agencies such as The Joint Commission and NYS DOH.
- Two (2) years of Human Resources experience.
- Administrative experience in a healthcare setting.
- Proficiency using Microsoft Office PowerPoint
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate with patients, staff and medical providers. The employee must be able to exchange accurate information in these situations. This position is largely sedentary and requires the employee to remain stationary for a majority of the day. Any additional physical demands will be outlined and provided by management.
