JOB SUMMARY

Responsible for administration and compliance of employee benefits ( ie: Short Term Disability (STD), Worker’s Compensation, Family Medical Leave (FMLA)), time and attendance audits (Kronos); performance improvement, board and other compliance reports. Responsible for processing payroll changes, paperwork for terminating employees and responds to Texas Workforce Commission claims. Perform administrative and clerical related duties. Assist the Human Resource Officer as applicable. Reports to Human Resources Officer. Non-Exempt position.

ESSENTIAL FUNCTIONS

Monitors and reviews processes for EEOC compliance.

Enters all status forms, payroll changes, W-4s, direct deposits, and payroll deductions into Kronos for payroll processing. Processes PTO cash outs and enters information to payout benefits with adjustment from FT status or termination.

Processes FMLA leave, obtaining initial request, medical certification, and communicates leave status effectively. Ensures all time is entered appropriately and runs audit to ensure leave compliance.

Processes short term disability claims as needed.

Ensures accurate completion of Worker’s Compensation forms, and completes reports as needed. Provides safety report regarding trending of Worker’s Compensation claims.

Processes information on claims filed with Texas Workforce Commission. Completes documentation and files employer response. Attends appeal hearings, if needed.

Ensures all licenses and certifications are up to date and in compliance in accordance with job description requirements.

Assists with preparing PI reports and Board reports, as requested.

Compile and evaluate reports as needed to determine effectiveness of current strategies and benchmarks, to include hiring metrics, EEO compliance, employment metrics (turnover, etc.).

Responsible for verification of employment and maintaining employee confidentiality with outside callers.

Processes employee termination; compiles and reports information to appropriate administrative staff. Process internal paperwork for terminated employee (access request, paycheck, etc.)

Maintains department records, files, and policy and procedure manual.

Responsible for sending employee change list to appropriate directors in a bi-weekly manner.

Answers all inquiries/questions received via Human Resources Department e-mail. Directs e-mails appropriately.

Maintains facility database for personnel records; ensures records are kept confidential.

Answers the telephone in a professional manner. Answers Human Resources questions in an expedient manner; directs other questions/inquiries to appropriate staff for resolution.

Maintains professional and technical knowledge of industry and related HR issues to ensure compliance with all federal, state, and local laws and regulations.

Provides administrative support to HRO, as needed.

Performs secretarial and general office work as needed. Provides copies as requested, assembles reports, and other documents as needed.

Assists with Human Resources projects.

Maintains a working knowledge of labor and employment laws.

Exercises the highest degree of confidentiality and professionalism.

Assists directors and employees with HR questions and issues when needed. Provides interpretation and ensures correct application of company policies, procedures, and programs.

POSITION REQUIREMENTS

Minimum Education

Minimum High School diploma or GED required

Associate Degree in Human Resource Management or Business Administration preferred. Bachelor Degree preferred

Three to five years business/administrative experience or one year experience in Human Resources preferred

Healthcare preferred

PHR/SPHR certification preferred

Required Skills

Must possess superior ability to communicate effectively in English, both verbally and in writing. Additional languages preferred.

Excellent interpersonal skills and customer service.

Must possess high degree of organization and be able to multi-task efficiently and effectively.

Advanced computer knowledge required, including proficiency in Microsoft Office and Outlook.

Able to accurately type 60-70 words per minute.

Ability to use standard office equipment (copier, fax, etc.).

FUNCTIONAL DEMANDS

Functional Job Requirements:

Job requirements include, but are not limited to: sitting, standing, walking, kneeling, bending, squatting and reaching. Requires good finger dexterity, repetitive motions with hands and fingers. Requires ability to have good vision and hearing. Pushing and pulling equipment may be necessary.

Job requires medium lifting on an occasional basis.
