This is an exciting opportunity for a candidate with a passion for the medical and aesthetics fields and exemplary customer service. To ensure success, the Medical & Aesthetic Office Associate should be a confident and professional administrator with fantastic communication, interpersonal, organizational, time management and record-keeping skills that will contribute to the efficient day-to-day administration of the facility. Top candidates will work comfortably under pressure while multi-tasking in a fast-paced team-oriented environment. Most importantly, the successful candidate is self-motivated with a willingness to learn and contribute ideas for improvement of the patient experience and operation of the facility. Initially the position will be part-time with the potential for full-time in the future. Compensation will be based on experience.
Medical & Aesthetic Office Associate Responsibilities:
- Greet and attend to patients in person and over the phone.
- Answer phone calls in a professional and courteous manner.
- Schedule and confirm appointments between clinicians and patients.
- Manage the check-in process for patient visits, including clinical and insurance paperwork, insurance processing, identification verification, collection of copays and balances, etc.
- Manage the check-out process for patient visits including scheduling testing and follow-up appointments.
- Professionally assist physician, medical assistants, vascular technicians, patients and visitors as needed.
- Assist with the complete and accurate documentation of patient visits.
- Assist with maintenance of exam rooms and office space as well as inventory and supply tracking.
- Perform all duties within HIPAA regulations and maintain confidentiality of all patient information.
- Liaise between external parties such as referring physicians, medical departments and facilities, pharmacies and vendors with discretion and professionalism.
Medical & Aesthetic Office Associate Requirements:
- 2 years of experience in a client/customer service role preferred.
- Working knowledge of Microsoft Word and Excel.
- Working knowledge of an EMR system a plus, eClinicalWorks an extra plus.
- Meticulous attention to detail with the ability to multi-task.
- Strong organizational, administrative, documentation and planning skills.
- Ability to work under pressure and react effectively to time-sensitive situations.
- Ability to use discretion while working with sensitive information.
- Passionate about customer service excellence.
- Interest in aesthetics a plus.
- Interest in practice marketing and development opportunities a plus.
- Proactively suggests ideas for the continuous improvement of the patient experience and the operation of the facility.
