Medical Front Desk Coordinator
Job description
Responsible for greeting patients, relaying incoming telephone calls to the appropriate person, and performing assigned medical administrative responsibilities by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
1. Greets patients and visitors as they enter the office and notifies the appropriate person of the individual's arrival.
2. Collects co-pays and reminds patients of past due balances on day of office visit.
3. Ensures patients check out as they leave the office.
4. Totals patient payment log.
5. Confirms patient appointments.
6. Documents and notifies Doctor when a patient cancels an appointment.
7. Acts as liaison with third-party vendors for patient medical order requests, specimen pickup, calling appropriate laboratory for pathology results, calling pharmacy to fill prescription orders, and arranging for lab waste pickup as needed.
8. Answers incoming telephone calls on a multi-line telephone system in a professional manner.
9. Transfers calls to the appropriate person and writes messages in accordance with approved telephone procedures.
10. Types correspondence and office memos as directed.
11. Transcribes information regarding patient visits for medical reports.
12. Assembles and processes incoming and outgoing mail to include receiving and distributing mail, as well as operating postage machine.
13. Operates standard office equipment to include multi-line telephone, answering machine, transcriber, photocopy machine, adding machine, and calculator.
14. Notifies appropriate individual of equipment repairs or general maintenance needs.
15. Handles computer hardware/software issues.
16. Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.
17. Maintains an organized office calendar and schedules meetings and appointments as needed.
18. Maintains a petty cash fund with the proper documentation, makes changes as needed, and balances on a regular basis.
19. Prepares and provides the Doctor’s patient files by pulling charts, gathering paperwork, and printing daily appointment schedules.
20. Pays manager-approved invoices with company credit card.
21. Adheres to all approved policies, procedures, and philosophies.
