JOB DESCRIPTION:

Marc Jacobs International, powered by the creative genius of Marc Jacobs, seeks an Executive Assistant to join the Sales Retail and Wholesale team based in its New York City (SoHo) headquarters. Marc Jacobs International is part of the Louis Vuitton Moet Hennessy (LVMH) fashion division and operates in the wholesale and direct to consumer retail markets.

The Executive Assistant will oversee the Chief Commercial Officer (CCO) day-to-day business activities and managing special projects. Build collaborative relationships with internal and external groups, including Global teams in Europe, Japan, China, APAC. Manage various projects and business activities to enhance productivity and well-being of headquarter team.

RESPONSIBILITIES:

  • Manage the day-to-day sensitive and confidential business activities
  • Demonstrate the ability to handle confidential and highly sensitive proprietary information with discretion
  • Prioritize and execute travel arrangements (both Domestic and International) for CCO and team
  • Schedule meetings and maintain daily and long-term calendar in a manner that provides the most effective use of the CCO’s time and prioritizes business needs; regularly liaising with Global Offices for meetings
  • Close partnership with CEO office and Executive Leadership Team
  • Oversee office standards and organization of floor and manage communication & direction to Office Coordinator
  • Coordinate and prepare Budget/ Business Reviews and Senior executive meetings (Global CEO, CFO, Managing Director, etc.) and prepare confidential and sensitive materials;
  • Responsible for budget management; anniversary gifts, holiday gifting, and brand specific office events in accordance with company T&E policies
  • Manage all logistics for meetings led by CEO, CCO and/or team members, including organizing agendas, booking meeting rooms, preparing written material
  • Create and implement processes and procedures to achieve high-level efficiencies across the team including comprehensive filing and organizational system
  • Develop relationships with internal administrative staff to best facilitate meeting planning and scheduling
  • Prepare Travel & Expense reports, reconcile corporate card expenses and uphold company T&E policies
  • Ensure deadlines are met, questions are answered, and requests are addressed
  • Miscellaneous Projects as assigned

QUALIFICATIONS:

  • 5 years of Executive Assistant or relevant work experience
  • Bachelor’s degree preferred
  • Advanced skills in Microsoft Outlook, Word, Excel, PowerPoint
  • Highly organized, self-starter with ability to handle multiple priorities at once
  • Strong verbal and written communication skills
  • Superior judgement, professionalism, poise, ability to maintain the highest level or confidentiality, and assertiveness
  • Excellent ability to maintain composure and effectiveness in a fast paced environment
  • Must be intuitive, able to anticipate needs and develop options
  • Ability to interact with all levels of the organization
  • Must be able to work independently with minimal supervision
  • Strong administrative, time management and follow through skills
  • In compliance with the Order of New York City’s Commissioner of Health and Mental Hygiene to Require COVID-19 Vaccination in the Workplace, candidates will need to provide proof of COVID-19 vaccination by their first day of employment.
