Conifer Realty is seeking a self-motivated full-time Office Assistant, to begin their career with us at our 2 apartment communities: Pine Grove at Hamilton in Mays Landing NJ (99 units) AND Clayton Mill Run in Absecon NJ (72 units). This is a great opportunity for someone who has strong administrative and organizational skills and can provide excellent customer service to support daily operations related to affordable housing program certifications of our properties’ portfolio. You will assist residents and take work order repairs for Maintenance Team to complete work. You will work with various Conifer team members and departments as needed. Background check and drug screen conducted.
RESPONSIBILITIES WILL INCLUDE but not be limited to:
- Provide organizational overflow support for fast-paced management office and provide excellent customer service to all Residents, new applicants, visitors, vendors, contractors, co-workers, and customers.
- Answering phones, greet incoming visitors, process incoming/outgoing mail, preparing office correspondence and completion of forms, maintaining files, and ordering/maintaining inventory of office supplies.
- Assist with touring new resident applicants on the property when needed.
- Maintain an organized office calendar and schedule meetings and appointments when needed.
- Assist residents with collecting and processing rent payments.
- Deliver community notifications to residents.
- Receive and process work orders from residents in accordance with Conifer’s standards of operation and provide them to maintenance team on a timely basis.
- Help develop promotional activities that will assist in Marketing of community when vacancies.
- Compose, prepare, and proofread correspondence, office memos, reports, and other documents, always maintaining required confidentiality.
CANDIDATES' EXPERIENCE/SKILLS should include:
- Minimum 2 years Office Assistant prior experience, preferably with customer service.
- Affordable Housing, multi-family housing experience a plus.
- Prior apartment leasing office experience desired.
- Strong written and verbal communication, time management, and organizational skills needed.
- Prior data entry inputting required.
- Yardi Voyager housing software experience a plus or other housing programs helpful; willing to be trained.
- Proficient in MSOffice skills (Word, Excel, Outlook).
- Math Aptitude – good with numbers; strives for accuracy; excellent at proofreading.
- Reliable mode of transportation to travel between sites including valid driver’s license and valid auto insurance coverage required.
- Able to work independently as well as support a team when needed.
- Must like to be busy and work with the public in a fast-paced office.
- Must be self-motivated, willing to meet deadlines.
- Friendly, positive attitude to assist residents, contractors, coworkers, visitors.
- Flexible, adaptable to changing work tasks as needed.
- Reliable, dependable / excellent attendance.
