The Bridge, an innovative and well respected mental health agency serving adults with serious mental illness, substance abuse, co-occurring mental health and substance abuse disorders, and co-morbid medical conditions is seeking an Office Manager to join its Residential Services department.
Job Responsibilities:
- Manage field visit schedules for staff to ensure accountability and safety in the community
- Responsible for providing directives to staff in the field attending to apartment emergencies
- Manage the submission and tracking of all apartment repair requests utilizing Real Page (real estate and property management software)
- Train case management staff on utilizing various software applications used to schedule and track client/apartment visits, request apartment repairs, etc.
- Oversee the turnover of units in coordination with the field coordination, property management and maintenance teams
- Responsible for distributing and accounting for client checks and staff/client metro-cards
- resumes and participate in initial interviews of prospective staff, providing input about the selection of candidates
- Manage scheduling and follow up for prospective staff during the hiring process in conjunction with HR
- Liaise between program staff and landlords, building superintendents and maintenance staff via email and via phone in a professional manner
- In conjunction with the Facilities Department, manage vendors in the field, submitting invoices and confirm performance of services
- Coordinate with IT department on all office equipment
- Set up/close utilities accounts on behalf of clients and ensure monthly payments
- Responsible for managing the purchasing and inventory of and office supplies as well as client furniture/supplies
- Secure apartment keys for all scattered site apartments
- Reconcile Petty Cash and submit check requests to Finance Department
- Ability to handle confidential information appropriately
- Assist with special quality assurance projects including audits and visits by funders
- Ability to work with consumers/residents, families, and staff in a caring and respectful manner, and with due understanding of and consideration for cultural differences.
- Attend staff meetings, supervision and trainings as required
- Occasional field work required
- Any other duties as may be assigned & special projects as needed
Qualifications:
- Associates degree with related experience
- Experience working with mental health, crisis intervention and managing trauma triggered behavior
- Excellent time management and organizational skills
- Must be a team player who is stress resistant, flexible, creative and open to feedback
- Perform CPR/First Aid/AED/CPI/Naloxone
- Experience with AWARDS preferred
- Excellent verbal and written communication skills
- Computer competence
- Bi-lingual in English and Spanish a plus
