Position Overview

The Office Manager/Executive Assistant position is essential to the success of the company. This positions duties include accounting, property management, document/process control, human resources, and office/team support. This position reports directly to the company owners and directly oversees the Marketing Administrator. The ideal candidate must be professional, detail oriented, have excellent interpersonal skills, the ability to anticipate needs and enjoy working in a team atmosphere.

Responsibilities include, but are not limited to:

  • Bookkeeping (QuickBooks) for multiple real estate holdings including accounts payable/receivable, invoice creation, payment processing, cash deposits & applications.
  • Management & reconciliation of bank accounts.
  • First point of contact for all IT related issues & escalation to IT vendor
  • Office management duties include greeting clients/guests/solicitors, sort mail, answer incoming calls, arrange couriers and UPS deliveries, organize company meetings and events, implement office policies, organizing conference calls/teams meetings, maintain electronic and paper filing systems, order office supplies, overall office presentation (cleanliness, decorations, plants, etc.), and office equipment leasing and service contracts.
  • Payroll processing, administration of benefit programs & PTO record keeping.
  • Secretarial duties include preparation of letters, proposals, contracts, etc.
  • Property management duties including scheduling vendors, maintenance, tenant communications, etc.
  • Executive support to the managing partners including travel and entertainment arrangements, registration and insurance renewals for company vehicles, etc., and other ad hoc duties as required.

Qualifications:

The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Strong understanding of Generally Accepted Accounting Principles (GAAP)
  • Working knowledge with business software, including accounting, word processing, spreadsheet, and database tracking systems (e.g., QuickBooks, Microsoft Office).
  • Strong editing skills and command of grammar
  • Basic understanding of IT – able to troubleshoot with IT vendors as needed
  • Degree in Business Administration, Accounting, Finance or similar preferred
  • PA Notary License is a plus
  • Real Estate industry experience highly valued

Starting at $65,000
