At Utopia Global Wellness, we are seeking a personable professional that is highly organized with strong operational skills, written, verbal skills - with a great attitude! This virtual - part-time role has the potential to grow into full-time!

Exceptional organizational skills, strong written, verbal communication, the ability to anticipate needs, work independently, and prioritize workload is required. A high level of professionalism, a positive attitude, and confidentiality are crucial to this role.

The VA/Ops Lead will be responsible for supporting our and clients and providers to book appointments.

Daily responsibilities include speaking to customers and helping them book appointments and using our web portal.

Support Includes:

  • Work directly with the CEO to support client outreach and follow-up. Exceptional attention to detail required.
  • Customer-facing support: taking calls
  • Coordinating with the wellness team, scheduling and onboarding
  • Must be available to meet at least 3-4x per week on a consistent basis.
  • Tools most used: Acuity Scheduling, Calendly, Google Suite & Suite, Jotform, Zoom
  • Client and Review Follow Up
  • Sending quotes
  • Website Updates
  • Admin Duties as Assigned
  • Daily and Weekly team calls or email check-ins

Must have a working environment that is free from noise and interference.

Time Commitment:

  • Approximately 10-15 hours/week (depending upon projects), minimum of 1 term (3 months) commitment multiple terms preferred.

Essential duties, responsibilities, and projects:

Utopia GW:

  • Support with Wix/website updates
  • Client Follow-up via email and phone calls, very strong writing skills required (grammar and punctuation)
  • Marketing support
  • Admin Duties as Assigned
  • Daily and Weekly team calls or email check-ins
  • Must have a working environment that is free from noise and interference when needed
  • Personal support
  • Prioritize assignments and delegate tasks on a daily basis
  • Improve internal processes and streamline business functionality by researching current industry trends and using that insight to form relevant, actionable solutions
  • The ability to manage staff, create policies and provide helpful services for employees
  • Additional duties as needed

Requirements:

  • BA degree and/or college classes (Business Admin./Marketing or English major preferred - not required)
  • Excellent attention to detail
  • 2-3 years of client-facing customer support experience
  • Strong written and verbal communication skills
  • Strong organizational skills
  • Experience with social media platforms: IG, FB, Twitter, (Constant Contact/HubSpot/ WordPress/blogs preferred)
  • Professionalism, adaptability, and self-starter with a positive attitude.
  • Technical: Google Suite/Google Calendar, Google Slides, Microsoft Suite/PowerPoint, Zoom
  • Project management experience is strongly preferred
