Montefiore Einstein Advanced Care is a premier Orthopedics and Sports Medicine Practice proudly serving Westchester and Rockland Counties. We currently have an exciting opportunity as a Patient Services Representative in our Call Center in our Airmont office.

Reports To: Office Manager

Job Summary:

This is position is responsible for making patient appointments following MEAC practice procedures and physician scheduling preferences and serves as the initial point of contact for patients and healthcare providers within the practice. This position may be integrated into another position, e.g., receptionist/registration clerk or medical assistant.

Primary Job Responsibilities:

* Answers and screens telephone calls in a courteous manner.

* Obtains accurate information from patients to ensure all patients are fully registered, performing live eligibility, notifying patients of balances due upon arrival at office, and documenting all required information in appointment comments.

* Schedules appointments using a triage system established by MEAC and according to MEAC established policies and procedures.

* Uses computerized electronic health record system to match physician/PA availability with patient’s preferences in terms of specialty, location, date and time.

* Ensures that updates (e.g., cancellations or additions) are input daily into master schedule, tasking the physician per MEAC protocols.

* Communicates as needed with physicians/pa’s and other staff about any patient concerns/issues related to scheduling. Consults with manager about any system problems.

* Prepares patients charts (chart prep) during times with no patient calls according to MEAC chart prep policies and procedures. Invites patient to portal.*Uses customer service principles and techniques to deal with patients calmly and pleasantly.

* Maintains files and records in a confidential manner.

* Maintains patient confidentiality.

* Perform other related duties as directed or assigned.

Knowledge:

  • Knowledge of MEAC Practice Management and EHR system to handle the provider’s templated schedules.
  • Knowledge of medical practice protocols related to scheduling appointments.
  • Knowledge of computerized EHR scheduling systems.
  • Knowledge of insurance requirements for authorizations
  • Knowledge of HIPAA rules and regulations
  • Knowledge of OSHA rules and regulations
  • Knowledge of customer service principles and techniques.
  • Knowledge of medical terminology.

Skills:

  • Skill in communicating effectively with physicians/clinicians about scheduling preferences.
  • Skill in maintaining master appointment schedule via our electronic health records system.

Abilities:

  • Ability to plan, exercise initiative, problem solve, make decisions.
  • Ability to multitask effectively, dealing with phone calls and other tasks
  • Ability to communicate calmly and clearly with patients
  • Ability to work effectively as a team member with physicians and other staff
  • Ability to flexibly respond to changing demands.
  • Ability to analyze situations and respond appropriately
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Ability to competently use Microsoft Office, including Word, and Excel, and appropriate practice management software.

Job Type: Full-time

Pay: From $20.00 per hour

Experience:

  • Customer service: 3 years (Preferred)
  • Medical terminology: 1 year (Preferred)
