Valhalla Medics and Valhalla Vitality are two quickly expanding organizations spearheaded by a dedicated executive team of young professionals. We're searching for an organized, experienced Personal Assistant to support our executive team and help us reach the next level.
Our ideal candidate is success-driven with excellent communication skills that can successfully interact with all key personnel on behalf of senior members of staff - requiring exceptional interpersonal capabilities, professionalism in appearance/demeanor as well as flexibility due to job requirements changing frequently from day-to-day.
Duties and Responsibilities
- Represent the Executive and the organization in a professional, polished and intelligent manner
- Act as first point of contact and gatekeeper as necessary
- Organize and manage personal and professional appointments or meetings, ensuring Executive is prepared for meetings and appointments
- Coordinate travel, transportation, and accommodations as needed
- Handing off projects and assignments to the appropriate department when asked
- Correspond with clients and customers in a professional manner
- Bill pay and basic financial organization
- Assume responsibility for administrative work related to insurance, registration, reimbursement, document renewal, travel points, holiday cards, etc.
- Manage professional and personal correspondence, emails, phone calls, mail, invitations
- Family and friends gift giving, correspondence, & calendar reminders
- Personal shopping and management of returns and refunds
Personal Assistant Requirements and Qualifications
- Two (2) years minimum professional administrative experience
- Must have experience working in fast-paced environments where the utmost discretion and confidentiality are required
- Proficiency in MS Office (MS Word, MS Excel and MS Outlook)
- Able to be resourceful and proactive in dealing with the day-to-day issues along with events/problems that arise quickly
- Excellent organizational, time management, and communication skills
- Can work independently with minimal supervision
- Tact and discretion when dealing with confidential information
- Must have a valid driver’s license
Salary is Commensurate With Experience
Job Type: Contract
Pay: $23.00 - $28.00 per hour
