Level 1, Administrator

Summary of Responsibilities:

The CSR – Biller is a critical and essential position within J&M Keystone, Inc.

Under the administrative supervision of the Office Manager, the position is responsible for the overseeing the administrative duties essential to setting up, dispatching, and coordinating emergency service responses, which consists of performing initial contacts, set-up, and scheduling technicians and routes essential to the work flow of program and non-program projects as well as finalizing the billing as it pertains to Emergency Services.

Characteristic Duties and Responsibilities:

  • Perform initial calls and set-up/create new jobs in the current CRM System (DASH)
  • Answer incoming calls throughout the day
  • Schedule and dispatch technicians, project managers, and estimators as needed
  • Enter in all applicable “time stamps” within the respective Programs as needed
  • Constant communication with Job Super, Program Admin Manager, Office Manager
  • Take calls from technicians to assist project managers as needed
  • Coordinate new emergency service response with CSR team and EMS team as needed
  • Transfer any problem jobs to necessary POC
  • Take on call rotation as on call dispatcher
  • Close out completed projects/jobs
  • Verify all paperwork and photos are in DASH
  • Pull costing and time by job detail reports from Quick Books
  • Bill Emergency Service Projects per Protocol Pricing respective to each client
  • Bill Emergency Service Insurance Projects in Xactimate
  • Enter billings in Quick Books
  • Provide necessary documentation and justifications to clients / Insurance Adjusters
  • Create dry-logs for Mitigation Insurance Projects
  • Finalize profits per store on all billings
  • Attend Scheduled Weekly Meetings respective to duties performed
  • Enter applicable metrics into L-10 Spreadsheet
  • Assist Project Managers in creating Proposal Contracts

Follow up & closing

  • Answers emails, phone calls, texts from J&M, clients, and adjusters.
  • Consistently follows up budgets, job cost tracking, and reviews job costs at close of job.
  • Confirm that all required documents are accurate and complete prior to closing out project.

Minimum Acceptable Qualifications

1. High school graduation or equivalent.

2. Any combination totaling of 2 years (24 months) from the following categories of experience:

(a) Work experience in the restoration (Mitigation, Construction, Contents, Abatement, Etc.) industry.
(b) Project coordination and/ or administration experience which includes understanding client/customer management, schedule coordination, CRM Input, finance (budgets), office programs – Excel, Outlook, Word, PowerPoint, DASH, Google Sheets, Xactimate, XACT Analysis, Alacrity, TPAs, and/or Quick Books a plus

  • MUST be able to pass background checks including but not limited to MVR, State and Federal, and medical facilities.
