The Project Coordinator/Administrative Assistant is an integral member of the team. The responsibilities include product research, generating proposals, placing orders, order tracking, resolving product claims, project punch lists, and service and warranty requests. The Project Coordinator is assertive, disciplined, highly organized, resourceful, a problem-solver, self-directed, and a skilled computer user.

ACCOUNTABILITIES

  • Serve as the primary procurement link between IBI and manufacturers/vendors.
  • Maintain accurate customer, manufacturer, and sub-contractor records in Team Design.
  • Be the primary contact responsible for reoccurring orders for Walmart, Tyson Foods, and other strategic accounts delivered nationwide.
  • Create Proposals and Purchase Orders in Team Design.
  • Issue Purchase Orders to manufacturers/vendors.
  • Manage Sales Rewards Programs (Spiffs).
  • Review manufacturer acknowledgments and reconcile them against original order documents.
  • Track and ensure shipping deadlines are met.
  • Maintain frequent contact with Project Manager providing order status and shipping information.
  • Process & document inbound and outbound packing lists, bills of ladings, and RMAs
  • Manage freight claims, shortages, returns, and service/warranty issues.
  • Work with the Project Manager, Sales, and Design teams to resolve installation punch list items.
  • Manage product overages and warehouse inventory in our system.
  • Submit completed project documents to accounting for invoicing.
  • Attend team, manufacturer, construction, and client meetings as required.
  • Develop thorough product knowledge through day-to-day activities and product research.
  • Assist in coordinating Intermarket installations via Service Net or direct contact from partner dealerships.
  • Send and follow up with post-installation client surveys via Service Net.
  • Assist the Design Team in reviewing specifications and installation plans for accuracy,
  • Contribute to an ongoing internal set of standards and knowledge base.
  • Take personal responsibility for ensuring customer satisfaction.
  • Conduct product research for the sales/design team to find applicable solutions to respond to clients’ needs.
  • Conduct research to inquire about fabric yardage requirements, availability, pricing, etc., and work with the manufacturers to obtain samples and quotes.
  • Pull together cut sheets, fabric/finish samples, and other collateral for client meetings.
  • Develop PowerPoint presentations for client presentations.

QUALIFICATIONS

  • At a minimum, an Associate's Degree in business or two years of administrative experience is required.
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook, Teams
  • Ability to calculate discounts, proportions, & percentages.
  • Demonstrates attention to detail, with the ability to manage multiple projects simultaneously.
  • Excellent ability to take and give direction within a team environment.
  • Ability to quickly build rapport and earn the respect of colleagues and customers.
  • Ability to work the time necessary to complete projects and meet deadlines.
  • Self-directed accountability for individual success.

Starting pay is based on qualifications & experience.

Job Type: Full-time

Pay: $40,000.00 - $42,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
