Part-Time Administrative Assistant
Supervised By: Chief of Police
Supervises: None
General Summary:
Under the supervision of the Chief of Police, assists with a variety of clerical and administrative functions related to the daily operations of the Police Department.
Essential Job Functions:
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the duties which the employee may be expected to perform. To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
· Receives telephone calls and walk-in visitors, answers questions regarding procedures, transfers or re-directs calls requiring further assistance, and takes messages for Police/Fire personnel.
· Receives emergency and non-emergency calls for service not directed through the 911 system; dispatches appropriate personnel as necessary according to established rules and practices.
· Processes Freedom of Information Act (FOIA) requests.
· Prepares general correspondence, reports, forms, permits, records and other Public Safety documents.
· Receives, files and distributes department records, crime complaints, accident/incident reports, and other documents.
· Updates and maintains active files and records of traffic tickets, warrants, gun registrations and permits, stolen property reports, missing person bulletins, vacation property checks, and related documents.
· Receives and records monies paid to the department. Prepares billings as required.
· Assists the public with information, copies of reports, finger printing, procedural issues, gun registration, and related issues.
· Schedules appointments, prepares itineraries and agendas, and provides department staff with clerical support for meetings, training sessions and court appearances.
· Inputs and accesses information from computerized information systems.
· Assists juvenile or same sex crime victims or prisoners, witnesses the viewing and photographing of injuries sustained by victims or prisoners.
· Performs related work as required.
Required Knowledge, Skills, Abilities and Minimum Qualifications:

· Education requirements include a high school diploma or equivalent.
· Proficiency in Microsoft Word and other Office applications.
· Thorough knowledge of modern office procedures and practices, and skill in applying them.
· Possession of a valid Notary Public certification is desirable.
· Good knowledge of the laws, regulations and policies governing police department functions and other public safety processes.
· Skill in the operation of a computer, calculator, typewriter, copier and other standard office equipment.
· Ability to establish effective working relationships and use good judgement, initiative and resourcefulness when dealing with the public, community leaders, law enforcement officials, and other City employees.
· Ability to understand and follow complex oral and written instructions.
· Ability to assemble data and prepare accurate records and reports.
· Ability to operate two-way radio communications equipment to receive, dispatch and relay information.
· Ability to effectively communicate and present ideas and concepts orally and in writing.
· Ability to work effectively under stress, emergency situations, and changes in work priorities.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms. The employee must frequently lift and/or move items of light to moderate weight. Specific vision abilities required by this job include close vision, color vision, and peripheral vision.
